01 ABOUT ACENZO

Acenzo is a healthcare-focused architecture and planning firm based in Delhi. We design hospitals, medical colleges, and healthcare infrastructure, with projects across India and internationally.

02 THE ROLE

You will own the HR function end to end for the studio. Hiring at every level, from interns to senior architects. Payroll inputs, appraisals, retention, discipline, compliance, and culture. You will report directly to the Director and work closely with the studio leads.

We run on Keka. Hands-on working experience with the platform is essential, so that you can take charge of the system from the first week.

03 TALENT ACQUISITION

— Own hiring across all levels: interns, fresher architects, mid-level architects, senior architects, 3D and visualisation, BD, and support roles

— Build and maintain relationships with leading architecture schools and colleges for campus and internship intake

— Run portfolio-based screening and coordinate technical rounds with studio leads

— Maintain a standing pipeline of pre-screened candidates for senior roles, refreshed quarterly

— Manage job postings, referral programme, and a freelance or contract resource database for surge capacity

— Negotiate offers, close candidates, and follow up through to joining date

— Track cost per hire, time to hire, and offer-to-joining ratio

04 ONBOARDING AND INDUCTION

— Complete all pre-joining formalities before day one: documentation, Keka setup, email, workstation, pod allocation

— Run day-one induction covering policy, systems, and studio structure

— Coordinate with studio leads on drawing standards and software briefing for current joiners

— Structured check-ins at day 14, day 30, and day 90, with a written confirmation decision at 90 days





05 PAYROLL AND COMPENSATION

— Prepare and validate monthly payroll inputs on Keka: joiners, exits, leave without pay, salary revisions, overtime, arrears

— Coordinate with the accounts team for processing and disbursal

— Maintain salary structures, CTC breakups, and compensation benchmarking against comparable firms

— Manage full and final settlements, gratuity, and reimbursement claims

— Prepare annual increment and bonus workings for Director approval

06 PERFORMANCE AND APPRAISALS

— Run the annual and mid-year appraisal cycles end to end on existing systems

— Coordinate goal setting and review calibration with pod leads

— Facilitate difficult appraisal conversations where required

— Track probation confirmations, promotions, and role changes with proper documentation

— Identify high performers and flight risks, and take retention conversations forward with the Director

07 EMPLOYEE RELATIONS AND DISCIPLINE

— First point of contact for grievances, conflicts, and workplace concerns

— Draft warning letters, show-cause notices, performance improvement plans, and termination letters that are factually precise and legally sound

— Conduct investigations into complaints with proper documentation

— Manage exits professionally: resignation acceptance, notice period, handover, exit interview, relieving and experience letters

— Maintain POSH compliance, including committee constitution and annual filing

08 HR OPERATIONS AND COMPLIANCE

— Full administration of Keka HRMS: attendance, leave,



employee records, workflows, and reporting

— Maintain personnel files and statutory registers

— Ensure compliance with PF, ESI, gratuity, skilled tax, Shops and Establishments, and labour law requirements, working with the external CA where needed

— Draft and update the employee handbook, HR policies, and standard operating procedures

— Manage leave policy, attendance discipline, and work-from-home exceptions

— Prepare a monthly HR report for the Director: headcount, open roles, attrition, joiners, exits, and pending decisions

09 LEARNING AND CULTURE

— Identify training needs across the studio and organise sessions on software, technical skills, and site exposure

— Support licensing, CoA registration, and continuing education for architects

— Organise studio events, celebrations, and internal communication

— Run periodic pulse checks on team morale and report honestly on what you find

10 WHO WE ARE LOOKING FOR

— 4–6 years in HR, with at least two years at an architecture, design, or professional services firm

— Hands-on Keka HRMS experience, including payroll and attendance modules

— Has personally handled a termination, a hard appraisal conversation, or a retention negotiation

— Working knowledge of Indian labour law and statutory compliance

— Understands how design studios staff projects, and what architects care about

— Comfortable raising a concern upward

— MBA in HR or equivalent preferred

— Based in Delhi NCR

11 FIRST 90 DAYS A complete and accurate employee record on Keka for every person in the studio. One hiring cycle run independently, from sourcing to joining. A working candidate pipeline for senior roles. The employee handbook reviewed and updated.
