Job Title: Head – Human Resources (HR)
Location: Dr Rajendra Gode Medical College & Hospital
Reports To: Chairman / CEO / Director
1. HR Strategy & Workforce Planning
- Develop and implement the hospital's HR strategy aligned with organizational goals.
- Prepare annual manpower plans, HR budgets and recruitment plans.
- Assess manpower requirements for doctors, nurses, technicians, paramedical, administrative and support staff.
- Establish appropriate staffing levels based on hospital workload, departments, shifts and patient-care requirements.
- Develop organization structure, reporting hierarchy, job descriptions and manpower norms.
2. Recruitment & Selection
- Lead recruitment for medical, nursing, paramedical, administrative and support positions.
- Coordinate with HODs and medical administration for manpower requirements.
- Establish systematic recruitment, interview, selection and background-verification processes.
- Maintain recruitment trackers and monitor time-to-fill and vacancy status.
3. Employee Joining & Induction
- Ensure proper employee onboarding and joining formalities.
- Conduct HR induction covering:
- Hospital policies
- Code of conduct
- Attendance and leave
- Patient confidentiality
- Workplace discipline
- Safety and infection-control requirements
- POSH and other statutory requirements
- Ensure new employees understand their roles, responsibilities and reporting structure.
4. Employee Relations & Retention
- Act as the primary HR interface between employees and management.
- Address employee grievances, complaints and workplace concerns.
- Identify causes of employee attrition and absenteeism and implement corrective measures.
- Develop employee engagement and retention initiatives.
- Conduct exit interviews and prepare monthly attrition analysis.
- Maintain a professional, disciplined and employee-friendly work environment.
5. Payroll, Compensation & Advantages
- Supervise monthly payroll processing and ensure salary accuracy and timeliness.
- Coordinate with Finance/Accounts for payroll reconciliation.
- Develop appropriate compensation and benefits structures.
6. Statutory Compliance & Labour Laws
Ensure compliance with applicable Central and State labour laws, EPF / EPFO, ESI / ESIC Payment of Gratuity, Professional Tax, Labour Welfare Fund, Working hours, weekly offs and leave requirements. Applicable rules relating to employment of women and young persons Maintain statutory registers, returns, licences, notices and compliance records.
7. Training & Development
- Conduct annual Training Needs Analysis (TNA).
- Prepare an annual training calendar.
- Organize training on:
- Patient safety
- Infection prevention and control
- Fire and emergency preparedness
- Basic life support/emergency response, where applicable
- POSH
- Workplace ethics
- Communication and behavioural skills
- Department-specific competencies
- Maintain employee training and competency records.
8. Hospital-Specific HR Responsibilities
- Ensure adequate staffing for 24×7 hospital operations.
- Monitor nursing, technician, housekeeping, security and other critical staffing levels.
- Coordinate credentialing and documentation of doctors and clinical professionals.
- Coordinate HR requirements for accreditation and regulatory inspections such as NABH/NMC and other applicable authorities.
- Support implementation of patient-safety and quality-related HR requirements.
9. Disciplinary & Grievance Management
- Handle disciplinary cases fairly and confidentially.
- Issue/show-cause notices and coordinate disciplinary proceedings as per applicable rules and organizational policy.
- Maintain disciplinary records.
- Ensure principles of natural justice and due process.
- Investigate employee complaints and recommend appropriate corrective action.
- Maintain a formal grievance-redressal mechanism.
10. Attendance, Leave & Workforce Discipline
- Monitor attendance, late-coming, absenteeism and unauthorized absence.
- Ensure effective biometric/HRMS attendance management.
- Review departmental attendance reports.
- Monitor overtime and shift compliance.
- Take corrective action for repeated attendance and discipline issues.
11. Employee Separation
- Manage resignation, notice period, termination, retirement and final settlement processes.
- Ensure proper exit clearance from all departments.
- Conduct exit interviews.
- Issue relieving letters, experience/service certificates and other required documents.
- Analyze separation trends and recommend retention measures.
12. HR MIS & Reporting
Prepare and submit regular HR reports to management, including:
- Total manpower
- Department-wise manpower
- Vacancies
- Recruitment status
- Joining and separation
- Monthly attrition
- Absenteeism
- Overtime
- Payroll cost
- Employee performance
- Training status
- Statutory compliance
- Employee grievances
- Disciplinary cases
13. Employee Engagement & Welfare
- Develop employee welfare initiatives.
- Organize employee engagement activities.
- Establish employee recognition and reward programs.
- Promote a healthy workplace culture.
- Conduct employee satisfaction surveys and implement improvement measures.
14. Management Advisory Role
- Advise the Chairman/CEO/Management on HR strategy and employee-related matters.
- Provide recommendations regarding manpower cost, organizational restructuring, compensation and employee retention.
- Support management during organizational changes, expansion and new department setup.
- Ensure HR decisions are aligned with hospital operations, financial objectives and applicable laws.
Pay: ₹25,000.00 - ₹50,000.00 per month
