Job Summary
Mahalaxmi Industrial Construction Pvt. Ltd. is looking for a proactive and organized HR Executive / HR & Admin Executive to manage HR activities across our construction projects, PEB/structural steel manufacturing factory and corporate operations.
The candidate will be responsible for recruitment, attendance, payroll coordination, employee documentation, labour management, statutory compliance support, contractor coordination, onboarding, employee relations and general HR administration.
The role requires regular coordination with factory employees, engineers, supervisors, project/site teams, labour contractors, accounts and management.
Candidates with previous experience in construction, manufacturing, engineering, PEB, infrastructure or industrial companies will be preferred.
Key ResponsibilitiesRecruitment & Manpower Planning
- Handle end-to-end recruitment for factory, construction sites and office positions.
- Recruit:

- Store personnel
- Safety personnel
- Account/Admin staff

- Post vacancies on Indeed, Naukri, LinkedIn and other recruitment platforms.
- Screen CVs and conduct preliminary interviews.
- Coordinate technical interviews with department heads.
- Maintain a database of potential candidates.
- Track vacancies and manpower requirements department-wise and project-wise.
- Coordinate joining dates, salary negotiations and offer letters.
Employee Onboarding & Documentation
- Complete joining formalities for recent employees.
- Prepare and maintain:
- Offer letters
- Appointment letters
- Employee records
- ID proofs
- Bank details
- Educational documents
- Experience certificates
- Salary records
- Leave records
- Employee files
- Issue employee ID cards wherever required.
- Conduct induction for new employees.
- Ensure employees understand company policies, reporting structure and workplace requirements.
Attendance, Leave & Payroll Coordination
- Maintain daily attendance records for:
- Factory staff
- Office staff
- Construction/site employees
- Track:
- Working days
- Overtime
- Weekly offs
- Leave
- Absenteeism
- Late reporting
- Prepare monthly attendance and salary inputs.
- Coordinate with Accounts for payroll processing.
- Maintain salary revision and increment records.
- Verify attendance submitted by site supervisors and department heads.
Labour & Contractor Management
- Coordinate with labour contractors supplying manpower to factory and construction sites.
- Maintain contractor manpower records.
- Verify worker attendance submitted by contractors.
- Maintain worker documentation as required.
- Coordinate labour deployment according to project and production requirements.
- Monitor absenteeism and manpower shortages.
- Coordinate replacement manpower when required.
- Maintain records of contractor bills and manpower data for verification with concerned departments.
- Support management in resolving contractor and workforce-related issues.
Statutory Compliance Support The candidate should have working knowledge of HR and labour compliance applicable to manufacturing and construction businesses.
Responsibilities will include coordination and documentation related to:
- PF
- ESIC
- Professional Tax
- Labour welfare requirements
- Contractor labour documentation
- Factory-related employee records
- Construction-site labour documentation
- Employee registers and statutory records
- Joining and exit documentation
- Compliance documentation required during client or authority inspections
The HR Executive will coordinate with the company's consultants, accounts team and management for statutory filings and compliance requirements.
Employee Relations
- Act as the first point of contact for routine employee HR queries.
- Address employee grievances professionally.
- Maintain discipline within the organization.
- Coordinate with department heads regarding:
- Employee performance
- Attendance problems
- Behavioural issues
- Disciplinary matters
- Manpower requirements
- Support management in implementing company policies.
- Assist in maintaining a positive and qualified work environment.
Performance Management
- Maintain employee performance records.
- Coordinate probation reviews and confirmation.
- Assist department heads with periodic employee evaluations.
- Track employee productivity and performance issues.
- Maintain increment and promotion records.
- Support management in identifying training and development requirements.
HR Administration
- Maintain employee database and HR MIS.
- Prepare monthly HR reports.
- Track:

- New joiners
- Resignations
- Vacancies
- Absenteeism
- Overtime
- Salary changes
- Department-wise manpower
- Prepare HR-related letters and notices.
- Maintain company HR policies and records.
- Coordinate employee uniforms, PPE and other employee-related requirements with the concerned departments.
- Assist with company events, meetings and employee engagement activities when required.
Site & Factory Coordination The candidate must be comfortable working in an environment involving both construction projects and manufacturing operations.
Responsibilities include
- Regular coordination with project sites.
- Coordination with Factory Manager / Production Head.
- Manpower planning for upcoming projects.
- Tracking employees transferred between factory and sites.
- Monitoring manpower shortages at project locations.
- Coordinating urgent site recruitment.
- Visiting construction sites when required.
- Coordinating with supervisors regarding labour attendance and deployment.
Exit Management
- Handle resignations and employee separation documentation.
- Conduct exit formalities.
- Coordinate notice periods.
- Prepare full-and-final settlement inputs for Accounts.
- Recover company assets from exiting employees.
- Issue relieving and experience letters after necessary approvals.
- Maintain records of former employees.
Required Qualifications
Education:
MBA / PGDM in HR
OR
Bachelor's degree with HR experience
Preferred Experience:
3–6 years of HR experience

Chakan, Pune, Maharashtra The role will primarily be based at the company/factory office, with visits to construction and project sites whenever required.
