CTC: ₹3.6–6.5 LPA, based on experience and capabilities

Working hours: 10:00 AM–6:00 PM | Two Saturdays off per month

Role requirement: Flexibility for event setups, show days, weekends and local travel is essential.

About the RoleNavavarn Events is looking for a hands-on Event Operations Executive – Production & Vendor Management who can convert approved event concepts into detailed production plans and deliver them successfully on the ground.

The role combines event operations, project delivery, production planning, cost control and vendor empanelment across corporate events, MICE, exhibitions, brand activations and social events.

The ideal candidate is organised, resourceful and calm under pressure, with strong knowledge of event production and the ability to coordinate multiple vendors, teams and timelines.

Key Responsibilities

- Prepare comprehensive event execution plans covering setup schedules, manpower deployment, vendor allocation, material movement, loading and unloading, rehearsals and dismantling.
- Conduct venue recces and assess dimensions, power availability, stage placement, audience flow, entry and exit points, green rooms, service access, parking, safety requirements and vendor movement routes.
- Coordinate with vendors across décor, fabrication, staging, trussing, lighting, sound, LED screens, printing, branding, furniture, catering, housekeeping, security, transport and special effects.
- Identify and empanel new vendors, verify their capabilities, collect rate cards, negotiate commercial terms and maintain a category-wise vendor database.
- Prepare vendor comparison sheets and recommend suitable partners based on quality, reliability, pricing and delivery timelines.




- Develop production checklists, cue sheets, setup plans, vendor call sheets and briefing notes for the on-ground team.
- Track approved event budgets and control vendor costs, transport expenses, last-minute purchases and other operational expenditures.
- Supervise venue setup, branding installation, technical checks, rehearsals, guest movement, event operations and dismantling.
- Troubleshoot on-site issues involving delays, vendor shortfalls, technical failures, safety risks, client changes and crowd or guest movement.
- Coordinate freelancers, runners, registration teams, hospitality staff, logistics teams, security personnel and crowd-management resources.
- Maintain clear communication with internal teams, vendors, venue representatives and clients throughout the event lifecycle.
- Submit post-event closure reports covering vendor performance, cost variance, incident notes, event photographs, pending payments and improvement opportunities.

Required Skills and Experience
- 2–5 years of relevant experience in event operations, event production, vendor management, experiential events, hospitality operations or venue operations.
- Robust practical understanding of event setup, staging, audiovisual systems, décor, fabrication, branding, printing and logistics.
- Ability to read layouts, understand dimensions, evaluate site feasibility and create practical production schedules.
- Strong vendor negotiation,



cost-management and follow-up skills.
- Good crisis-management, decision-making and on-ground leadership abilities.
- Ability to manage multiple vendors, timelines and priorities without compromising quality or safety.
- Proficiency in Excel or Google Sheets and comfort working with budgets, vendor databases, comparison sheets and operational trackers.
- Strong attention to detail, ownership and documentation discipline.
- Willingness to travel within Bengaluru and work during late setups, early dismantles, weekends and event days when required.

- Vendor quality, reliability and on-time reporting.
- Qualified new vendors empanelled across key production categories.
- Complete and accurate production checklists and closure reports.
- Minimal operational escalations and zero major safety or compliance issues.
- Positive feedback from clients, internal teams and event stakeholders.
