About the Role
We are looking for a detail-oriented and proactive Documentation & Operations Executive to support our customs clearance operations. The ideal candidate should have prior experience in import/export documentation, shipment coordination, and operational follow-ups. The role requires excellent organizational skills, accuracy, and the ability to work in a fast-paced environment.
Key Responsibilities
- Prepare and verify customs clearance documentation for import and export shipments.
- Maintain and update document checklists to ensure complete and accurate submissions.
- Coordinate with shipping lines, airlines, freight forwarders, and ground handling teams.
- Obtain Delivery Orders (DOs) from shipping lines and relevant authorities.
- Track and update the status of import containers and air cargo in operational sheets on a timely basis.
- Ensure customs duty payments and other statutory payments are processed and tracked without delays.
- Forward all required documents to the ground handling and operations teams for cargo clearance.
- Coordinate with internal teams to ensure smooth movement of shipments.
- Prepare daily operational reports and submit an End-of-Day (EOD) status report to management.
- Maintain accurate records of shipments, documents, and operational activities.
- Follow up with customers, transporters,
shipping lines, and internal departments to ensure timely clearance and delivery.
Required Skills & Qualifications
- 13 years of experience in Customs House Agent (CHA), customs clearance, freight forwarding, logistics, or shipping operations.
- Good knowledge of import/export documentation and customs procedures.
- Familiarity with Delivery Orders (DO), Bill of Entry documentation, shipping line processes, and cargo handling procedures.
- Proficiency in Microsoft Excel, Word, and email communication.
- Strong attention to detail and documentation accuracy.
- Good communication and coordination skills.
- Ability to prioritize tasks and meet strict deadlines.
- Experience with customs or logistics software will be an added advantage.
Preferred Candidate
- Graduate in any discipline (Logistics, Commerce, or Supply Chain preferred).
- Self-motivated, responsible, and able to work independently.
- Comfortable coordinating with multiple stakeholders and handling operational follow-ups.
Compensation & Advantages
