About the Role

We are looking for a responsible and detail-oriented Dispatch Executive to manage day-to-day dispatch operations, coordinate with internal departments, transporters, and customers, and ensure timely and accurate delivery of goods from our Kaladwas, Udaipur facility.

The ideal candidate should have good knowledge of dispatch documentation, logistics coordination, inventory movement, and basic computer operations.

Key Responsibilities

- Plan and coordinate daily dispatch activities as per customer orders and delivery schedules.
- Prepare and verify dispatch-related documents such as invoices, delivery challans, packing lists, e-way bills, and other required documents.
- Coordinate with the Production, Warehouse, Sales, Accounts, and Logistics teams to ensure smooth dispatch operations.
- Coordinate with transporters for vehicle placement, loading, and timely shipment.
- Ensure correct quantity, product, packaging, and documentation before dispatch.
- Maintain accurate records of dispatched materials and update dispatch status in ERP/software.
- Track shipments and coordinate with transporters regarding delivery status.
- Follow up on pending and delayed deliveries and communicate updates to concerned departments.
- Ensure proper loading and safe handling of materials to minimize damage during transportation.
- Maintain transporter details, dispatch registers, and other logistics records.
- Support preparation of daily/weekly/monthly dispatch reports.
- Resolve routine dispatch-related issues and escalate major discrepancies to the reporting manager.
- Ensure compliance with company policies,



safety procedures, and applicable transportation requirements.
- Maintain proper documentation and filing of dispatch records.

Required Skills

- Good knowledge of dispatch and logistics operations.
- Basic understanding of GST, E-Way Bill, Invoice, Delivery Challan, and transport documentation.
- Working knowledge of MS Excel and MS Office.
- Experience with ERP/SAP or other inventory/logistics software will be an advantage.
- Good coordination and communication skills.
- Robust attention to detail and accuracy.
- Ability to manage multiple dispatches and work under deadlines.
- Good follow-up and problem-solving skills.
- Ability to work effectively with transporters, warehouse staff, and internal departments.

Qualification

- Graduate in B.Com, BBA, BA, or any relevant discipline.
- Diploma/degree in Logistics, Supply Chain Management, or related field will be an added advantage.

Experience 1–3 years of relevant experience in dispatch, logistics, warehouse, or supply-chain operations, preferably in a manufacturing/industrial environment.

- Timely and accurate dispatch of orders.
- Accuracy of dispatch documentation.
- Reduction in dispatch errors and shortages.
- Timely coordination of vehicle placement and loading.
- Shipment tracking and on-time delivery follow-up.
- Accuracy of ERP and dispatch records.
- Proper maintenance of dispatch documentation.

Preferred Candidate Profile

- Location: Udaipur / nearby areas preferred.
- Comfortable working in a manufacturing/industrial environment at Kaladwas.
- Proactive, disciplined, and responsible approach to work.
- Good communication and coordination abilities.
- Willingness to learn and take ownership of dispatch activities.
