Role Type: Full Time

- Job Purpose The Assistant Manager – Facility is responsible for overall coordination, supervision and monitoring of facility operations within the hospital. The role focuses on maintenance, IT coordination, biomedical equipment (BME), fire safety, statutory and operational licenses, and preparation of regular management reports. The position ensures that hospital infrastructure and support services remain safe, functional and compliant with hospital requirements.
- Key ResponsibilitiesA. Maintenance Management

- Supervise day-to-day maintenance activities across the hospital.
- Monitor electrical, plumbing, civil, HVAC, carpentry and other facility-related requirements.
- Ensure preventive and corrective maintenance activities are carried out as per schedule.
- Review maintenance complaints and ensure timely closure.
- Coordinate with maintenance staff and external agencies wherever required.
- Monitor critical equipment and infrastructure-related issues.
- Maintain records of maintenance complaints, preventive maintenance and corrective actions.
- Escalate major breakdowns or safety-related issues to the concerned authority.

B. IT Coordination
- Coordinate with the IT team for day-to-day hospital IT-related requirements.
- Monitor reported IT issues and ensure timely resolution.
- Coordinate for hardware, software, network, system and connectivity-related issues.
- Maintain an IT complaint/issue tracker where applicable.
- Follow up on pending IT issues with the concerned team/vendor.
- Ensure critical IT issues affecting hospital operations are escalated immediately.
- Support implementation of IT-related operational requirements within the facility.

C. Biomedical Equipment (BME) Management
- Monitor availability and functioning of biomedical equipment in the hospital.
- Coordinate with Biomedical Engineering and concerned clinical departments regarding equipment-related issues.
- Ensure preventive maintenance and calibration of biomedical equipment are carried out as per schedule.
- Monitor breakdown complaints and ensure timely rectification.
- Coordinate with authorized vendors/service agencies for equipment maintenance.
- Maintain records of preventive maintenance, breakdowns, calibration and service reports.
- Ensure equipment-related documentation is available for audits and inspections.
- Escalate critical equipment failures that may affect patient care.

Fire Safety Management
- Ensure implementation of hospital fire safety procedures and guidelines.
- Monitor fire extinguishers, hydrants, fire alarm systems and other fire-safety installations.
- Ensure periodic inspection, testing and maintenance of fire-safety equipment.
- Coordinate with authorized agencies for fire safety system maintenance.
- Monitor fire exits, emergency routes and access areas to ensure they remain unobstructed.
- Coordinate and support fire drills and emergency preparedness activities.
- Ensure identified fire-safety observations are followed up and closed.
- Maintain required fire-safety records and reports.
- Immediately escalate any major fire-safety risk or non-compliance.

E. Monthly PPT / Management Reporting
- Prepare monthly Facility Management presentations/reports for management review.
- Compile data related to maintenance, IT, BME, fire safety and other facility activities.
- Present key achievements, pending issues, breakdowns and corrective actions.
- Highlight recurring problems and areas requiring management attention.
- Maintain monthly data and supporting records for comparison and review.
- Ensure reports are accurate, updated and submitted within the defined timeline.

F. License & Compliance Management
- Maintain a tracker of facility-related statutory and operational licenses.
- Monitor validity and renewal dates of applicable licenses.
- Coordinate with concerned departments, agencies and vendors for timely renewal.
- Ensure required certificates and documents are properly maintained.
- Follow up on pending approvals, renewals and compliance requirements.
- Maintain soft and hard copies of relevant licenses and certificates as applicable.
- Escalate upcoming expiry or compliance risks well in advance.
- Support internal and external audits/inspections related to facility compliance.

3. Team & Vendor Coordination
- Supervise and coordinate facility team members and support staff.
- Coordinate with external vendors and service agencies.
- Monitor vendor performance and service quality.
- Ensure work is completed as per agreed requirements and timelines.
- Verify service reports and maintenance documentation.




- Escalate repeated vendor/service-related issues to management.

4. Documentation & Reporting
- Maintain facility maintenance records and complaint trackers.
- Maintain BME preventive maintenance and breakdown records.
- Maintain IT issue/complaint records.
- Maintain fire safety inspection, drill and maintenance records.
- Maintain license and renewal trackers.
- Prepare monthly MIS/PPT and other reports required by management.
- Ensure all documents are readily available for audits and inspections.

5. Safety & Quality Responsibilities
- Ensure facility activities are carried out in accordance with hospital SOPs.
- Maintain a safe environment for patients, visitors and staff.
- Identify potential safety risks and initiate corrective action.
- Coordinate with Quality, Nursing, Infection Control, Security and other departments wherever required.
- Support hospital accreditation, quality and compliance requirements.
- Ensure timely closure of audit observations related to facility services.

6. Key Skills Required
- Good leadership and team-management skills.
- Strong coordination and follow-up ability.
- Knowledge of hospital facility operations.
- Good understanding of maintenance and infrastructure management.
- Basic understanding of BME and IT coordination.
- Knowledge of fire safety and emergency preparedness.
- Good documentation and reporting skills.
- Proficiency in MS Office/Excel/PowerPoint.
- Robust problem-solving and decision-making ability.
- Ability to manage multiple facility activities simultaneously.

7. Performance Indicators (KPI)
- Timely closure of maintenance complaints.
- Preventive maintenance completion as per schedule.
- Timely resolution of IT and BME-related issues.
- Compliance with fire safety requirements.
- Timely completion of fire drills and safety checks.
- Zero/Minimum critical facility-related non-compliances.
- Timely renewal of applicable licenses.
- Accuracy and timely submission of monthly PPT/MIS.
- Effective vendor and team coordination.
- Timely closure of audit and inspection observations.

8. Accountability The Assistant Manager – Facility is accountable for ensuring safe, functional and compliant facility operations across the hospital. The position is responsible for effective supervision, coordination, monitoring and timely escalation of maintenance, IT, BME, fire safety and license-related activities.

Pay: ₹35,000.00 - ₹50,000.00 per month
