About Activbase

Activbase is a sports rehabilitation, physiotherapy, fitness, recovery and sports performance facility based in Kochi. We combine medical rehabilitation, sports science, fitness, recovery and athlete-focused services under one ecosystem.

We are looking for a responsible, detail-oriented and commercially aware Accounts & Finance Officer to independently manage the day-to-day accounts and finance function of Activbase, who will grow into our Finance Head in their career.

This is not a purely data-entry accounting role. The candidate will be expected to understand the business, monitor cash flow and transactions, identify financial leakages, coordinate with vendors and auditors, and provide management with accurate financial information for decision-making.

Key Responsibilities1. Accounts & Bookkeeping

- Independently manage day-to-day accounting activities of Activbase.
- Record and maintain sales, purchases, expenses, receipts, payments and other financial transactions.
- Maintain accurate ledgers, journals and supporting documentation.
- Perform bank, cash and ledger reconciliations.
- Maintain accounts receivable and accounts payable.
- Track outstanding customer and vendor payments.
- Ensure timely and accurate accounting entries.

1. Finance & Cash Flow Management

- Monitor daily cash flow and provide regular updates to management.
- Maintain cash and bank positions.
- Track collections, payments and upcoming financial commitments.
- Prepare cash-flow forecasts and assist management in financial planning.
- Monitor receivables and ensure timely collection follow-ups.
- Identify unnecessary expenses, revenue leakages and financial inefficiencies.

1. Revenue & Business Monitoring

- Reconcile daily revenue across different Activbase services and payment channels.
- Verify collections against billing and operational records.
- Monitor revenue generated from physiotherapy, rehabilitation, fitness, sports, recovery and other business verticals.
- Identify discrepancies between services delivered, billing and collections.
- Prepare daily/weekly/monthly revenue reports for management.

1. Vendor & Stakeholder Coordination





- Coordinate directly with vendors and suppliers regarding invoices, payments and outstanding balances.
- Verify vendor invoices before processing payments.
- Maintain vendor records and payment schedules.
- Liaise with banks, auditors, consultants and other financial stakeholders when required.

1. Audit & Compliance

- Coordinate with the external/internal audit team for monthly and annual closing.
- Prepare schedules, statements and supporting documents required for audits.
- Assist in statutory compliance and documentation, including GST, TDS and other applicable requirements.
- Ensure proper maintenance of financial records and supporting documents.
- Work closely with the company's CA/audit team.

1. MIS & Management Reporting

Prepare regular financial reports including:
- Daily revenue report
- Daily cash & bank position
- Accounts receivable report
- Accounts payable report
- Monthly P&L;
- Expense analysis
- Revenue vs target analysis
- Cash-flow statement
- Outstanding payment report
- Vendor ageing
- Other management reports as required

1. Financial Controls

- Establish and maintain proper accounting controls.
- Ensure every transaction has appropriate documentation and approval.
- Monitor cash handling and payment processes.
- Identify accounting discrepancies and potential financial risks.
- Ensure proper segregation and tracking of business expenses.
- Maintain confidentiality of all financial and business information.

- Strong in Excel/Google Sheets.
- Comfortable working with accounting softwares.
- Good at reconciliations and financial reporting.
- Strong in analytical and problem-solving skills.
- Capable of identifying errors and financial leakages proactively.
- Comfortable communicating with management, vendors and auditors.
- Reliable with confidential financial information.




- Willing to take responsibility rather than simply wait for instructions.

A Strong Commercial Mindset Is Important We are particularly looking for someone who can go beyond bookkeeping.

The candidate should be able to look at the numbers and ask:

"Where is the money going?"

"Why is revenue not matching expectations?"

"Are we being billed correctly?"

"Are there unnecessary expenses?"

"Are all services being properly billed and collected?"

"Where can we improve our margins and cash flow?"

In time, the candidate should grow into the senior head of finance.

Qualifications & Experience

- Bachelor's degree in Commerce, Accounting, Finance or a related field.
- 2–5 years of relevant accounting/finance experience preferred.
- Experience in independently managing accounts for an organisation is an advantage.
- Knowledge of GST, TDS, statutory accounting and financial reporting.
- Strong working knowledge of MS Excel / Google Sheets.
- Experience with Tally, Zoho Books or similar accounting software preferred.

M.Com/CA Inter / CMA Ind / CMA USA / ACCA candidates are considered, depending on experience and practical accounting knowledge. Key Performance Expectations The successful candidate will be expected to:

- Maintain clear visibility of cash flow and outstanding payments.
- Minimise accounting errors and financial leakages.
- Ensure timely vendor and statutory payments.
- Provide accurate financial reports to management.
- Support management in making financially informed business decisions.
