About the Role
Navavarn Events is looking for a hands-on Event Operations Executive – Production & Vendor Management who can convert approved event concepts into detailed production plans and deliver them successfully on the ground.
The role combines event operations, project delivery, production planning, cost control and vendor empanelment across corporate events, MICE, exhibitions, brand activations and social events.
The ideal candidate is organised, resourceful and calm under pressure, with strong knowledge of event production and the ability to coordinate multiple vendors, teams and timelines.

Key Responsibilities
Prepare comprehensive event execution plans covering setup schedules, manpower deployment,



vendor allocation, material movement, loading and unloading, rehearsals and dismantling.
Conduct venue recces and assess dimensions, power availability, stage placement, audience flow, entry and exit points, green rooms, service access, parking, safety requirements and vendor movement routes.
Coordinate with vendors across décor, fabrication, staging, trussing, lighting, sound, LED screens, printing, branding, furniture, catering, housekeeping, security, transport and special effects.
Identify and empanel current vendors, verify their capabilities, collect rate cards, negotiate commercial terms and maintain a category-wise vendor database.
Prepare vendor comparison sheets and recommend suitable partners based on quality, reliability, pricing and delivery timelines.
Develop production checklists, cue sheets, setup plans, vendor call sheets and briefing notes for the on-ground team.
