Purchase Manager – Job Description

Position Details :

Job Purpose

To manage the complete purchase and procurement process, ensuring timely availability of raw materials, consumables, spares, and other materials at the right quality and competitive cost while maintaining strong vendor relationships.

Key Responsibilities
- Manage day-to-day purchase activities and procurement requirements.
- Identify, evaluate, and develop reliable suppliers and vendors.
- Obtain quotations, compare prices, negotiate rates, and finalize purchase orders.
- Ensure timely procurement of raw materials, consumables, machinery spares, electrical items, and other requirements.
- Coordinate with Production, Maintenance, Stores, Accounts, and Management regarding purchase requirements.
- Monitor pending purchase orders and ensure timely delivery of materials.
- Maintain proper purchase records, quotations,



purchase orders, and vendor documents.
- Negotiate payment terms, credit periods, delivery schedules, and other commercial terms.
- Develop alternative vendors to ensure continuity of supply.
- Monitor vendor performance regarding quality, price, delivery, and service.
- Coordinate with Stores for material receipt and quantity/quality verification.
- Resolve issues related to shortages, damaged materials, delayed deliveries, and incorrect supplies.
- Ensure purchases are made within approved budgets and company policies.
- Track purchase costs and identify opportunities for cost reduction.
- Prepare regular purchase reports and MIS for management review.
- Maintain confidentiality of vendor pricing and commercial information.
- Ensure compliance with company procurement procedures and approval processes.
