About the Role

We are looking for a smart, detail-oriented and proactive Front Desk & Patient Coordinator to join our physiotherapy clinic.

This is not a typical receptionist role. You will be responsible for managing the front desk, communicating with patients, making follow-up calls, coordinating day-to-day clinic activities, and helping ensure the clinic runs smoothly when the Clinic Manager is unavailable.

We are particularly looking for someone who is confident on calls, organised, quick to learn, comfortable with technology and interested in using AI tools to work smarter and improve processes.

Key Responsibilities
- Handle incoming and outgoing calls with patients and prospective patients
- Follow up with leads, consultations and existing patients
- Schedule, confirm and reschedule appointments
- Maintain accurate patient and appointment records
- Coordinate between patients, physiotherapists and the clinic team




- Ensure patients have a smooth and professional experience at the clinic
- Handle routine patient queries and escalate important issues appropriately
- Manage payments, receipts and basic daily collection records
- Follow up with patients for pending appointments and treatment plans
- Assist with package/payment-related communication where required
- Maintain daily reports and operational records
- Monitor reception and front-desk operations
- Help ensure clinic processes and SOPs are followed consistently
- Support the Clinic Manager with administrative and operational tasks
- Take ownership of routine operations when the Clinic Manager is not present
- Identify problems and proactively find solutions instead of waiting for instructions
