Visa Operations Executive Travel & Tourism
Role Overview
The Visa Operations Executive will be responsible for managing the end-to-end visa processing for individual and corporate travellers. The role involves document verification, application preparation, submission coordination, follow-ups with embassies/consulates, and ensuring timely visa processing while maintaining high accuracy and customer service standards.
Key Responsibilities
1. Visa Processing & Documentation
- Handle end-to-end visa processing for international destinations.
- Collect, verify, and organize visa documents from clients.
- Prepare visa application forms and supporting documentation accurately.
- Ensure applications meet embassy, consulate, and immigration requirements.
- Identify missing or incorrect documents and coordinate with clients for corrections.
2. Embassy & Consulate Coordination
- Coordinate with embassies, consulates, VFS, and other visa application centres.
- Schedule visa appointments and biometric submissions where required.
- Track application status and provide timely updates to clients.
- Follow up on pending applications, queries, and additional document requirements.
3. Client Coordination
- Communicate visa requirements, procedures, timelines, and applicable fees to customers.
- Assist clients with visa-related queries and documentation.
- Maintain regular follow-ups until the visa process is completed.
- Provide skilled and timely customer support through phone, email, and WhatsApp.
4. Compliance & Accuracy
- Stay updated on changing visa rules, immigration policies, and documentation requirements.
- Ensure all applications are submitted accurately and within deadlines.
- Maintain confidentiality of client passports and personal documents.
- Maintain proper records of visa applications, approvals, rejections, and pending cases.
5. Team & Operational Support
- Coordinate with the ticketing, reservations, tours, and sales teams for complete travel document
