Job Overview

We are looking for a detail-oriented E-Commerce & Product Data Administrator to manage our online platforms, maintain product databases, and organize daily operational workflows. A key focus of this role involves handling intricate details for custom jewelry manufacturing, customer follow-ups, and catalog management across Shopify and Etsy.

Key Responsibilities

1. Website & E-Commerce Management
- Maintain and update Shopify and Etsy stores (Titles, descriptions, pricing, SKUs, variants, tags, and collections).
- Upload product media (photos, 360 videos) and keep inventory synchronized across platforms.
- Perform basic product-page SEO, check for broken links/incorrect pricing, and update banners and seasonal promotions.
- Assist with launching recent wholesale and retail jewelry collections.

2. Customer & Vendor Administration
- Maintain structured customer and vendor/supplier databases with up-to-date contact information.
- Track customer quotes, inquiries,



and project notes; compile weekly lists of accounts needing follow-up.
- Organize vendor pricing sheets, project folders, and internal task tracking.

3. Jewelry & Product Specifications
- Organize CAD files, renderings, and link them to customer/project names.
- Track design stages: CAD Approval Production Completion.
- Enter precise product specs (diamond/gemstone counts, weights, metals, ring sizes, and pricing).
- Maintain a digital library, master product database, and archive completed custom designs for easy retrieval.

4. Data Entry & General Operations
- Maintain and clean up Google Sheets/Excel databases; convert PDFs/emails into organized spreadsheets.
- Implement clear file-naming conventions and organize shared drive folders.
- Conduct a 10 to 15 minute daily operations check-in every morning to align on priority projects and daily deliverables.
