Job Description

JOB DESCRIPTION – PIV OFFICER (3 POSITIONS)

Designation: Sr. Officer / Sr. Executive – Inventory (PIV)

Reporting To: PIV Manager

Role Division (Recommended Work Design for 3 Officers)

Officer 1 – Raw Material & Bought-Out Parts Controller

Officer 2 – WIP Inventory Controller

Officer 3 – Finished Goods & Dispatch Controller

Common Key Responsibilities (All Officers)

1. Real-Time Inventory Tracking

Check & Update all transactions in SAP:

- Receipts

- Issues

- Transfers

- Maintain stock accuracy for assigned category

2. Movement Reconciliation

Track and reconcile with SAP & Physical:

- Material movement between stores and production Physical & System

- WIP stage-wise & Part wise movement

- Identify and report if discrepancies has found immediately

3. MIS & Reporting

Generate:

- Daily stock report

- Movement register

- Variance report

- Highlight abnormal trends

4. Physical Verification

Conduct:





- Daily cycle count (selected items)

- Weekly/Monthly stock check

- Ensure zero mismatch or immediate correction

5. Loss Prevention

Monitor:

- Pilferage

- Damage

- Scrap generation

- Report unusual consumption patterns

6. Compliance

- Follow SOPs strictly

Maintain documentation for audit readiness

Role-Specific Responsibilities

Officer 1 – Raw Material & Bought-Out Parts

- v Track incoming materials from vendors

- v Ensure GRN accuracy

- v Monitor vendor-wise shortages/excess

Officer 2 – WIP Controller

Track inventory at each production stage:

- v Chassis assembly

- v Engine fitting

- v Body building

- v Ensure no unaccounted WIP

Officer 3 – Finished Goods (FG)

- v Track completed vehicles

- v Ensure proper entry before dispatch

- v Reconcile dispatch vs billing

Key Skills Required (Officers)

- v SAP knowledge

- v Strong reconciliation skills SAP & MS Excel

- v Attention to detail as per SOP

- v Basic understanding of automobile manufacturing flow

- v Positive coordination with shop floor teams
