The Tender Assistant will be responsible for handling day-to-day GeM tender activities, tender documentation, dispatch and courier follow-ups, government department coordination, approval follow-ups, and pending payment collection.
Key Responsibilities
- Read and analyse Government/GeM tenders, typically 100–200 pages, and understand eligibility criteria, specifications, terms, conditions, timelines, and documentation requirements.
- Prepare clear and comprehensive checklists based on tender requirements to ensure all necessary documents and compliances are completed.
- Coordinate the preparation and submission of tender-related documents within deadlines.
- Track submitted tenders and maintain updated records of tender status.
- Follow up with various Government Departments regarding tender approvals, documentation, product/sample approvals, and other pending requirements.
- Track all parcels, samples, documents, and couriers dispatched to Government Departments and ensure confirmation of receipt.
- Follow up with concerned departments for inspection, verification, approval, and acceptance of dispatched materials.
- Follow up regularly on pending payments, invoices, and outstanding amounts from Government Departments.
- Maintain payment and invoice trackers and ensure timely follow-up until payment is received.
- Coordinate with internal teams, courier agencies, and government officials to resolve dispatch, approval, documentation, and payment-related issues.
- Maintain proper records of tenders, checklists, dispatches, approvals, invoices, payments, and correspondence.
- Ensure timely completion of all assigned tender-related activities and follow-ups.
Required Skills
- Understanding of Government Tenders and GeM processes
- Ability to read and understand lengthy tender documents
- Strong documentation and checklist preparation skills
- Excellent follow-up and coordination skills
- Positive written and verbal communication
- Strong attention to detail
- Good organisational and time-management skills
- Proficiency in MS Excel, MS Word and Email
- Ability to manage multiple tenders and follow-ups simultaneously
Employment Terms
Salary: ₹12,000 – ₹14,000 per month
Probation: 6 months
Role Type: Full-time
Pay: ₹12,000.00 - ₹14,000.00 per month
