Project Coordinator – Job DescriptionPosition: Project Coordinator
Department: Operations / Project Management
Reports To: Project Manager / Operations Head
Location: Site / Head Office / Multiple Project Locations
Industry: Manpower Services / Facility Management / Government Projects
Job Summary
The Project Coordinator will be responsible for coordinating day-to-day project operations, manpower deployment, attendance, documentation, reporting, and communication between the Head Office, Project Manager, Field Managers, Supervisors, workers, and clients/government departments. The candidate should have strong computer knowledge, particularly MS Excel, and excellent coordination and follow-up skills.
Roles & Responsibilities1. Project & Site Coordination
- Coordinate daily activities across assigned project sites.
- Coordinate with Project Managers, Field Managers, Supervisors, and site staff.
- Ensure manpower is deployed as per project requirements.
- Monitor manpower shortages, absenteeism, replacements, and deployment.
- Follow up on pending site requirements and operational issues.
- Ensure timely resolution of site-related problems.
2. Manpower & Attendance Management
- Maintain daily manpower deployment and attendance records.
- Monitor IN/OUT attendance and absenteeism.
- Track leave, weekly offs, replacements, and manpower availability.
- Coordinate with supervisors for attendance discrepancies.
- Prepare daily manpower and attendance reports.
- Ensure required manpower is available at each site as per contract requirements.
3. MIS & Reporting
- Prepare Daily, Weekly and Monthly MIS reports.
- Maintain project-wise manpower and attendance data.
- Prepare shortage, deployment, absenteeism and replacement reports.
- Maintain Excel trackers and project databases.
- Compile reports received from supervisors and field teams.
- Ensure all reports are accurate and submitted within deadlines.
4. Documentation & Record Management
- Maintain project-related documents and records.
- Maintain employee/manpower deployment records.
- Maintain site-wise registers, attendance sheets and other operational documents.
- Prepare and organize documents required for inspections, audits and client submissions.
- Ensure proper filing of physical and digital documents.
5. Client / Government Department Coordination
- Coordinate with clients and concerned government department officials whenever required.
- Follow up on complaints, manpower requirements and operational issues.
- Communicate project updates to the concerned management.
- Maintain proper records of client requirements and instructions.
- Assist the Project Manager during meetings and inspections.
6. Computer & Excel Responsibilities
The candidate should have valuable working knowledge of:
- MS Excel – VLOOKUP/XLOOKUP, COUNTIF/COUNTIFS, IF formulas, filters, sorting, Pivot Tables, basic MIS
- MS Word
- MS PowerPoint
- Google Sheets/Google Drive
- Email communication
- PDF/document handling
- Attendance/HRMS software
- Basic data entry and record management
7. Follow-up & Coordination
- Follow up with supervisors for daily reports and pending information.
- Track pending tasks and ensure timely completion.
- Coordinate between different departments for smooth project execution.
- Escalate critical issues to the Project Manager/Operations Head.
- Maintain proper communication with field teams.
8. Project Monitoring
- Monitor whether project activities are being carried out according to requirements.
- Track manpower deployment against sanctioned/required manpower.
- Monitor site-level operational issues.
- Maintain trackers for project requirements, complaints and pending activities.
- Support the Project Manager in achieving project targets and maintaining service quality.

Qualification & Experience
Qualification: Graduate in any discipline.
Experience: 1–2 years of experience in Project Coordination, Operations, Manpower Management, Facility Management, Site Coordination or a similar role.
Preferred: Candidates with experience in manpower/site handling, government projects, facility management or contract manpower services will be preferred.

Pay: ₹15,000.00 - ₹22,000.00 per month
