Job Title: Front Office Executive

Job Summary:
The Front Office Executive serves as the face of the hotel, ensuring exceptional guest experiences while managing front desk operations. This role involves handling reservations, guest services, billing, and coordinating with various departments to maintain smooth hotel operations. Additionally, the role requires leading front office team members, delegating tasks, and ensuring excellent teamwork and service efficiency.
Key Responsibilities: Guest Reception & Service:
- Greet and welcome guests, ensuring a smooth check-in and check-out process.
- Handle guest inquiries, complaints, and special requests promptly and professionally.
- Provide information about hotel services, amenities, and local attractions.
Team Leadership & Coordination:
- Lead and mentor front office team members, ensuring high performance and adherence to hotel standards.
- Assign and delegate daily tasks to front desk staff to maintain efficient operations.
- Conduct briefings to update team members on daily schedules, VIP arrivals, and special events.
- Train new front office staff and assist in performance evaluations.
Reservations & Front Desk Operations:
- Manage room bookings, cancellations, and modifications using the hotel’s Property Management System (PMS).
- Ensure guest records are accurate and up to date.
- Optimize room allocation for maximum occupancy and guest satisfaction.
Billing & Payments:
- Process payments, issue invoices, and handle cash/card transactions.
- Maintain financial accuracy and reconcile accounts at the end of shifts.
Interdepartmental Coordination:
- Communicate and coordinate with housekeeping, maintenance, and other departments to fulfill guest needs.
- Ensure seamless collaboration between the front office and other hotel teams to maintain high service standards.
- Relay guest feedback to management and suggest service improvements.
Upselling & Promotions:
- Promote hotel services, room upgrades, and special packages.
- Stay informed about current promotions and effectively communicate offers to guests.
Compliance & Security:
- Ensure adherence to hotel policies, safety protocols, and confidentiality standards.
- Monitor guest check-in/check-out procedures to maintain security and smooth operations.
Qualifications & Skills:
- Education & Experience:
- High school diploma or a degree in Hospitality Management is preferred.
- Minimum 2 years of experience in a front office role, with some leadership experience.
- Technical Skills:
- Proficiency in hotel management software (e.g., Opera, IDS, Cloudbeds).
- Basic computer skills and knowledge of Microsoft Office Suite.
