Job Description:

Experience: 8–12 years in facility administration, preferably in a corporate/commercial environment
Role Overview
We are looking for an experienced Manager Admin to take complete ownership of the day-to-day administration and facility management. The role will be responsible for ensuring a safe, clean, well-maintained and professionally managed workplace, covering housekeeping, pantry, cafeteria, maintenance, vendors, security coordination and overall facility operations.
The person will be the single point of contact for all facility and administration-related requirements and will ensure smooth operations with minimum disruption to business activities.
Key Responsibilities
1. Facility Management
- Take complete responsibility for the day-to-day operations and upkeep of Della Tower.
- Ensure all common areas, workspaces, meeting rooms, washrooms, reception areas and other facilities are maintained to high standards.
- Conduct regular facility inspections and proactively identify issues.
- Coordinate with internal teams and external agencies for smooth facility operations.
- Ensure compliance with building rules, safety requirements and statutory standards.
- Maintain proper records of facility-related activities, contracts, assets and service schedules.
2. Housekeeping (HK)
- Manage the complete housekeeping function, including manpower deployment, attendance, grooming and performance.
- Ensure cleanliness and hygiene across the entire premises.
- Establish and monitor cleaning schedules, checklists and SOPs.
- Conduct regular audits and take corrective action wherever required.
- Manage housekeeping vendors and ensure service-level compliance.
- Ensure availability and appropriate usage of cleaning materials and consumables.
3. Pantry & Cafeteria Management
- Manage day-to-day pantry and cafeteria operations.
- Ensure quality, hygiene and timely availability of food, beverages and pantry supplies.
- Monitor cafeteria/pantry vendors and staff performance.
- Ensure proper food-handling, hygiene and sanitation practices.
- Monitor consumption, wastage, inventory and costs.
- Address employee feedback and resolve service-related issues promptly.
- Ensure all equipment and facilities in the cafeteria/pantry are properly maintained.
4. Maintenance & Engineering
- Oversee day-to-day electrical, plumbing, HVAC/AC, civil, carpentry, fire & safety systems, lifts and other building services.
- Ensure preventive and breakdown maintenance is carried out on time.
- Maintain maintenance schedules and service records.
- Coordinate with AMC vendors, contractors, building management and technicians.
- Track complaints and ensure timely closure.
- Minimize downtime and proactively identify recurring maintenance issues.
- Monitor maintenance expenses and ensure cost-effective solutions.
5. Vendor & Contract Management
- Manage all facility-related vendors and contractors.
- Negotiate and manage service contracts, AMCs and commercial terms in coordination with management/procurement.
- Monitor vendor performance against agreed SLAs.
- Verify bills against actual services delivered before submitting for approval.
- Ensure adequate manpower and resources are deployed by vendors.
- Maintain an updated database of all vendors, contracts, AMCs and renewal dates.
6. Safety, Security & Compliance
- Coordinate with security and building management to ensure a safe and secure workplace.
- Ensure fire safety equipment and emergency systems are regularly inspected and maintained.
- Support emergency preparedness, evacuation drills and business continuity requirements.
- Ensure statutory inspections, licenses and certificates are tracked and renewed on time.
- Escalate safety hazards and critical facility issues immediately to management.
7. Administration & Employee Support
- Act as the primary point of contact for employee facility-related concerns.
- Manage office infrastructure and common-area requirements.
- Coordinate seating, meeting-room and event-related facility requirements.
- Support office moves, expansions, renovations and special events.
Job Expectations:
- Maintain adequate stocks of stationery, pantry supplies,
housekeeping materials and other administrative consumables.
- Drive initiatives to improve employee experience and workplace standards.
8. Budget & Cost Control
- Prepare and monitor the annual facility and administration budget.
- Track monthly expenses against budgets.
- Identify opportunities for cost optimization without compromising service quality.
- Control consumption, wastage and unnecessary expenditure.
- Review vendor invoices and ensure proper approvals and documentation.
9. Team Management
- Lead and manage the administration/facility team and outsourced manpower.
- Set transparent responsibilities, targets and service standards.
- Conduct regular reviews of team and vendor performance.
- Ensure discipline, attendance, grooming and professional conduct of all facility staff.
- Train teams on SOPs, safety, hygiene and service standards.

Candidate Profile
- Graduate in any discipline; qualification in Facility Management / Hospitality / Administration will be an advantage.
- 8–12 years of relevant experience in administration/facility management.
- Experience managing housekeeping, pantry/cafeteria, maintenance and multiple vendors is essential.
- Strong team and vendor management skills.
- Good knowledge of building maintenance and facility operations.
- Strong communication, coordination and problem-solving abilities.
- Commercially aware with good budgeting and cost-control skills.
- Hands-on, proactive and capable of independently managing the complete facility.
Minimum Qualification:
Graduate in any discipline; qualification in Facility Management / Hospitality / Administration will be an advantage.
