Position: International Patient Department Executive
Department: International Patient Department (IPD)
Reporting To: AGM – Operations / International Patient Department Head
Location: C Kare Health Group

Job Purpose

The International Patient Department Executive will be responsible for coordinating and managing international patients from the initial enquiry through consultation, treatment, travel coordination, admission, treatment completion, and post-treatment follow-up. The role requires strong communication, coordination, documentation, and patient-service skills to ensure a smooth experience for international patients.

Key Responsibilities1. International Patient Enquiry Management

- Handle enquiries received from international patients through phone, email, WhatsApp, website, social media, and other channels.
- Understand patient requirements and collect relevant medical and treatment information.
- Coordinate with doctors for preliminary assessment and treatment recommendations.
- Provide patients with accurate information regarding available treatments, estimated costs, and procedures.

2. Patient Coordination

- Act as the primary point of contact for international patients throughout their treatment journey.
- Coordinate consultations, appointments, investigations, treatment plans, and procedures.
- Ensure timely communication between patients, doctors, hospitals, and internal teams.
- Maintain regular communication with patients regarding their treatment schedule.

3. Treatment & Cost Coordination

- Coordinate with the concerned clinical team to obtain treatment plans and cost estimates.
- Prepare and share treatment quotations and relevant information with patients.
- Assist patients in understanding the proposed treatment process and expected duration.
- Follow up with patients regarding confirmation of treatment.

4. Travel & Accommodation Coordination

- Assist international patients with information regarding travel, accommodation, transportation, and local support services.
- Coordinate airport pickup/drop and local transportation where applicable.
- Coordinate accommodation arrangements based on organizational policies.
- Assist patients with practical requirements during their stay.

5. Documentation & Visa Support

- Collect and maintain required patient documents.




- Assist patients with documentation required for medical travel and treatment.
- Coordinate with the concerned hospital/administrative team for medical visa-related documentation where applicable.
- Ensure all patient records and documents are maintained securely and confidentially.

6. Patient Experience Management

- Provide personalized assistance to international patients throughout their stay.
- Identify and address patient concerns promptly.
- Coordinate language or communication support when required.
- Ensure patients receive clear information about appointments, procedures, payments, and follow-ups.
- Collect feedback from international patients regarding their overall experience.

7. Billing & Payment Coordination

- Coordinate with the Accounts/Billing Department regarding treatment estimates, billing, deposits, and payments.
- Communicate payment requirements clearly to patients.
- Track pending payments and coordinate with the concerned department.
- Maintain proper records of international patient financial transactions.

8. Post-Treatment & Follow-Up

- Coordinate discharge and treatment completion formalities.
- Ensure patients receive necessary prescriptions, reports, treatment summaries, and follow-up instructions.
- Conduct post-treatment follow-up with international patients after they return to their home country.
- Coordinate online consultations or follow-up appointments when required.

9. International Marketing & Business Development

- Support international patient acquisition initiatives.
- Develop relationships with international referral agents, hospitals, doctors, corporates, and healthcare facilitators.
- Assist in international healthcare campaigns and promotional activities.
- Identify potential international markets and patient segments.
- Track enquiries, conversions, treatment revenue, and referral sources.

10. Reporting & Documentation

- Maintain an updated database of international patient enquiries and cases.
- Prepare daily, weekly,



and monthly reports.
- Track:
- International enquiries received
- Consultations scheduled
- Treatment conversions
- Treatment revenue
- Countries/regions generating enquiries
- Referral sources
- Pending cases
- Patient feedback
- Provide management with regular performance updates and market insights.

Key Performance Indicators (KPIs)

- Number of international patient enquiries
- Enquiry-to-consultation conversion rate
- Consultation-to-treatment conversion rate
- International patient revenue generated
- Number of active international referral partners
- Patient response and follow-up turnaround time
- Patient satisfaction score
- Successful coordination of travel and treatment arrangements
- Post-treatment follow-up completion
- International patient complaint resolution

Required Qualifications

- Bachelor's degree in Healthcare Management, Hospital Administration, Business Administration, Tourism/Hospitality, or a related field.
- Experience in international patient services, hospital administration, healthcare coordination, medical tourism, or customer relationship management is preferred.
- Knowledge of MS Office, Excel, email, CRM, and hospital management systems.

Experience

Preferred: 1–3 years of experience in international patient coordination, hospital administration, medical tourism, healthcare customer service, or a similar role.

Accountability

The International Patient Department Executive will be accountable for the complete coordination of international patients, from enquiry and treatment planning through travel, treatment, discharge, and post-treatment follow-up. The position will also contribute to international patient acquisition, revenue generation, patient satisfaction, and development of international referral networks.

Pay: From ₹20,000.00 per month
