: Procurement Analyst – Hospitality

Position Overview

We are seeking a detail-oriented and analytical Procurement Analyst to support procurement and purchasing operations across the hotel/resort. The role will focus on procurement analytics, vendor management, cost control, inventory coordination, purchase price analysis, and ensuring the availability of quality products at competitive prices.

The Procurement Analyst will work closely with Procurement, Finance, Stores, Food & Beverage, Kitchen, Housekeeping, Engineering, and Operations teams to optimize purchasing costs while maintaining quality and service standards.

Key Responsibilities

- Procurement & Spend Analysis

- Analyze hotel procurement spend across Food & Beverage, Rooms, Housekeeping, Engineering, and other operational departments.
- Track purchase prices, quantities, consumption patterns, and supplier-wise spend.
- Identify price variations, abnormal purchases, and cost-saving opportunities.
- Prepare monthly and weekly procurement spend reports.
- Analyze historical purchasing data to support budgeting and forecasting.
- Monitor compliance with approved purchasing procedures and budgets.

2. Vendor & Supplier Management

- Maintain and analyze supplier performance data, including pricing, quality, delivery, and service levels.
- Support supplier evaluation, comparison, onboarding, and periodic performance reviews.
- Conduct price benchmarking and market analysis for key commodities and hotel supplies.
- Support negotiations by providing pricing, volume, and historical purchase analysis.
- Identify opportunities for supplier consolidation and improved commercial terms.

3. Food & Beverage Procurement

- Monitor prices of food, beverages, fresh produce, meat, seafood, dairy, grocery, and other F&B; items.
- Analyze food cost impact resulting from purchase-price fluctuations.
- Compare supplier quotations and recommend the most commercially viable options.
- Track seasonal price changes and support alternative sourcing strategies.
- Coordinate with Executive Chef, F&B;, Stores, and Procurement teams to address price and availability issues.

4. Inventory & Cost Control





- Work closely with Stores and Cost Control teams to analyze inventory levels, stock movement, slow-moving items, and wastage.
- Monitor purchasing against consumption and par-stock levels.
- Identify overstocking, stock-outs, and unusual consumption patterns.
- Support inventory optimization initiatives.
- Analyze purchase-to-consumption variances and highlight exceptions to management.

5. Purchase Order & System Management

- Monitor purchase orders and purchasing transactions in the hotel ERP/procurement system.
- Ensure correct item descriptions, specifications, pricing, units of measure, and supplier information.
- Identify discrepancies between purchase orders, goods received, and supplier invoices.
- Support the resolution of pricing and invoice discrepancies with Procurement, Stores, and Finance.
- Maintain accurate vendor, item, pricing, and procurement master data.

6. Reporting & Dashboard Development

- Develop and maintain procurement dashboards and management reports.
- Track KPIs such as:
- Purchase price variance
- Procurement savings
- Supplier performance
- Purchase order compliance
- Spend by department/category
- Food and beverage purchasing trends
- Inventory turnover
- Stock-outs and overstock
- Present procurement insights and recommendations to management.

7. Cross-Functional Coordination

- Work closely with Finance, Cost Control, Stores, Executive Chef, F&B;, Housekeeping, Engineering, and other departments.
- Understand operational requirements and translate them into procurement analysis and recommendations.
- Support annual budgeting and periodic forecasting exercises.
- Assist in developing procurement policies, SOPs, and category strategies.

Required Qualifications

- Bachelor’s degree in Procurement, Supply Chain Management, Hospitality Management, Finance, Business Administration, or a related field.




- 2–5 years of experience in procurement, purchasing, supply chain, cost control, or procurement analytics, preferably within the hospitality industry.
- Strong knowledge of hotel purchasing processes and supplier management.
- Solid Excel skills, including PivotTables, XLOOKUP/VLOOKUP, SUMIFS, charts, and data analysis.
- Experience with hotel ERP/procurement systems such as SAP, Oracle, Materials Control, BirchStreet, Simphony, or similar systems is preferred.
- Strong numerical, analytical, and problem-solving skills.
- Good understanding of F&B; products, hotel operating supplies, and general procurement categories.
- Strong communication and stakeholder-management skills.

Preferred Experience

- Experience in a 5-star hotel, luxury resort, hotel group, or large hospitality operation.
- Experience with F&B; procurement and food-cost-related analysis.
- Experience with Power BI or other business intelligence tools.
- Knowledge of local and international supplier markets.
- Procurement/supply-chain certification such as CIPS, CPSM, or CSCP is an advantage.
