Job Summary
We are looking for a energetic, smart, and proactive Front Office cum Admin Executive who can efficiently manage the organization's front office operations while providing comprehensive administrative support. The ideal candidate should possess excellent communication skills, a pleasant personality, strong organizational abilities, and the confidence to independently handle day-to-day administrative responsibilities.
The role requires an individual who takes ownership, demonstrates a "go-getter" attitude, and ensures smooth office operations with minimal supervision.
Key Responsibilities
Front Office Management
- Manage the front office and reception area professionally.
- Welcome and assist visitors, clients, vendors, and interview candidates.
- Handle incoming and outgoing telephone calls through the EPABX/Intercom system and direct them appropriately.
- Manage the reception email inbox and respond or route communications promptly.
- Ensure the reception area and meeting rooms are neat, organized, and presentable at all times.
- Coordinate visitor entries, maintain visitor records, and ensure adherence to office security procedures.
Meeting & Conference Room Management
- Schedule, coordinate, and manage meeting room bookings.
- Arrange meeting rooms with required facilities and presentation equipment.
- Coordinate refreshments, tea/coffee, working lunches, and hospitality arrangements for internal and client meetings.
Courier & Communication Management
- Handle all incoming and outgoing courier services.
- Maintain courier records and dispatch documentation.
- Coordinate with courier agencies for timely deliveries and collections.
- Manage inward and outward correspondence efficiently.
Office Administration
- Handle day-to-day administrative activities to ensure smooth office operations.
- Coordinate procurement of stationery, pantry items, housekeeping materials, and other office consumables.
- Obtain quotations, compare vendors, prepare purchase requests, and coordinate procurement activities.
- Manage vendor coordination and follow up on deliveries and service schedules.
- Coordinate Annual Maintenance Contracts (AMCs) for office equipment and facilities.
- Monitor utility services and coordinate timely processing of utility bills.
- Support office infrastructure maintenance and ensure uninterrupted facility operations.
Helpdesk & Office Management Software
- Operate and maintain the organization's Office Management/Helpdesk application (One Office View).
- Log, monitor, assign, and track service requests.
- Coordinate with internal teams and vendors for timely issue resolution.
- Maintain accurate records and generate reports whenever required.
Event & Employee Support
- Coordinate internal events,
employee engagement activities, celebrations, and office functions.
- Arrange logistics, vendor coordination, purchases, and administrative support for company events.
- Assist HR and Administration in organizing meetings, training programs, and employee initiatives.
Documentation & Records
- Maintain administrative records, registers, vendor databases, and documentation.
- Prepare reports, correspondence, presentations, and official communications.
- Ensure proper filing of administrative documents in both physical and electronic formats.

- Good knowledge of internet applications and digital collaboration tools.
- Basic reporting and documentation skills.
Pay: ₹25,157.82 - ₹36,856.07 per month
