Executive Assistant provides high-level, confidential, proactive administrative and strategic support to the SVP to ensure seamless execution of leadership priorities, effective stakeholder communication, and efficient time and decision management.
Qualification:
- Graduate / Postgraduate (preferably Business Administration or related field)
- Graduation (from reputed Business schools preferred)
Communication Skill:
- Strong written (documentation) and oral communication skills
Working Hours:
- 40 hours per week as Full time employee
- Shift time: 10:00 AM IST - 7:00 PM IST
- Weekends Off
Telecommuter/Internet requirements, if applicable:
- High Speed internet connection at home, must be broadband
- Must understand and adhere with telecommuter policy.
Responsibilities for External Candidates
1. Calendar & Scheduling
- Manage SVP’s calendar and align it with priorities
- Schedule meetings with internal teams, clients, and leadership
- Identify and resolve scheduling conflicts proactively
2. Communication Management
- Act as the main contact point for the SVP
- Draft and manage emails, presentations, and communication
- Prioritize incoming messages and highlight critical items
3. Meetings & Follow-ups
- Prepare agendas and meeting materials
- Record MOM with clear action items and owners
- Track and ensure timely closure of actions
4. Reporting & Documentation
- Prepare MIS reports, dashboards, and presentations
- Maintain organized and confidential records
- Support data analysis for leadership reviews
5. Travel & Expenses
- Handle travel bookings and itineraries
- Ensure policy compliance
- Track and process reimbursements
6. Business & Leadership Support
- Assist in planning, reviews, and strategic initiatives
- Provide quick data insights for decision-making
- Support client meetings, audits, and presentations
7. Administrative & Operational Support
- Manage daily admin tasks for the SVP
- Coordinate with departments for smooth execution
- Handle escalations and ensure resolution
8. Confidentiality
- Handle sensitive information securely
- Maintain professionalism and integrity
9. Events & Meetings
- Organize leadership meetings, town halls, and events
- Manage logistics and coordination end-to-end
10. Tracking & Accountability
- Track deliverables and action items
- Ensure ownership across teams
- Maintain trackers for visibility
Qualifications
Experience:
- Strong Written and Oral communication skill
- 5–8 years of experience in executive assistant / leadership support roles
- Experience supporting senior leadership (AVP/VP/SVP level preferred)
- MBA (preferred)
