Execution & Coordination Lead – CEO’s Office

Location: Cheemasandra, Bengaluru East, Karnataka

About the Role

Fresh Platter is seeking an exceptionally organised, persistent and dependable professional who can convert the CEO’s instructions and organisational priorities into completed and verified outcomes.

This is not a conventional personal-assistant or secretarial position. The role is not primarily about calendar management, travel arrangements, taking meeting minutes or forwarding reminders. It is a hands-on, cross-functional execution role.

When the CEO communicates a requirement or records it in Zoho Projects, the Execution & Coordination Lead must convert it into an executable plan, assign ownership, establish deadlines, coordinate inputs, follow up proactively, verify the outcome and formally close it with evidence.

The objective is to allow the CEO to focus on strategy, technology, fundraising, business development and other high-value priorities without personally coordinating routine organisational requirements across multiple employees.

Key Responsibilities

- Structure CEO Requirements

- Capture requirements received through Zoho Projects, meetings, calls, messages, emails or verbal instructions.
- Clarify the required outcome, priority, deadline, quality standard and evidence of completion.
- Convert broad requirements into tasks, milestones and dependencies with an unambiguous owner and completion date.
- Identify the Accountable Person and everyone responsible for providing inputs.
- Structure larger requirements into practical phases and prevent unnecessary scope expansion.

2. Drive Cross-Functional Execution
- Coordinate requirements across operations, procurement, sales, finance, accounts, compliance, human resources, administration, technology, maintenance and external vendors.
- Obtain clear commitments and follow up before deadlines.
- Coordinate dependencies and prevent delays between departments.
- Intervene early when a task is at risk and resolve routine execution problems independently wherever possible.
- Ensure that employees do not drop one responsibility while concentrating on another.
- Remain persistent and assertive while always communicating respectfully and professionally.

3. Manage Zoho Projects
- Maintain Zoho Projects as the central source of truth for all CEO-assigned requirements.
- Record the Required Outcome, Accountable Person, Responsible Person, Deadline, Priority, Dependencies, Evidence Required and Current Status.
- Create recurring tasks, templates, checklists and suitable workflows.




- Attach relevant evidence and maintain accurate, searchable status information.
- Prevent important instructions from remaining only in WhatsApp messages, emails or verbal conversations.

Experience with Zoho Projects is helpful but not mandatory. Robust experience with another project-management system and the ability to learn Zoho Projects quickly are acceptable.
- Prevent Delays and Manage Exceptions

- Maintain a forward-looking view of upcoming deadlines.
- Identify missing inputs, resource constraints, quality concerns and potential delays early.
- Develop recovery plans for tasks that are at risk.
- Escalate only after making a reasonable effort to resolve the issue independently.
- Never allow a deadline to pass silently.
- When escalation is necessary, present the facts, actions already taken, available options and a recommended course of action.

Updates must go beyond “I reminded them” or “They are not responding.” They must explain the present position, recovery action and any decision required.
- Verify Completion

- Treat a task as completed only after the expected outcome has been delivered and verified.
- Obtain relevant evidence such as reports, documents, photographs, system records, acknowledgements or functional sign-offs.
- Inspect physical execution personally when appropriate.
- Check submissions for completeness and obvious errors, obtaining functional validation where specialised accuracy is involved.
- Reopen tasks that do not meet the required standard.

6. Execute Administrative and Special Assignments
- Manage suitable administrative and special assignments from initiation through completion.
- Coordinate employees, vendors, service providers, documentation, maintenance, inspections and other approved requirements.
- Ensure that agreed actions and physical implementation are completed, not merely initiated.

7. Provide Management Visibility
- Maintain a clear view of all open CEO-assigned requirements.
- Classify work as On Track, At Risk, Overdue, Awaiting Decision or Completed.
- Provide concise daily and weekly summaries to the CEO.
- Protect the CEO from routine operational chatter and escalate only matters requiring authority, judgment or intervention.
- Present problems with facts, options and a recommendation.

8. Improve Execution Systems
- Identify activities that repeatedly require manual follow-up.
- Establish workflows, checklists, reminders and escalation mechanisms.
- Recommend practical improvements, document simple SOPs and identify ownership gaps.
- Ensure that this role does not permanently compensate for poor employee performance.




- Document recurring non-performance so that the appropriate manager or CEO can take corrective action.

Authority and Role Boundaries The Execution & Coordination Lead will report directly to the CEO and may request progress updates, commitments, documents and evidence; coordinate discussions; maintain tasks in Zoho Projects; flag inadequate work; and escalate recurring failures.

This role does not remove accountability from department managers. Functional managers remain responsible for the quality and accuracy of their work. The Execution & Coordination Lead is responsible for ensuring that requirements are properly assigned, monitored, completed and verified.

The person is not authorised to make material commercial, financial, legal, employment or strategic decisions unless specifically delegated by the CEO.

Candidate Profile

- Bachelor’s degree in any discipline (Engineers preferred though).
- Ideally 4–8 years of relevant experience in a CEO/MD Office, Executive Operations, Founder’s Office, PMO, Project Coordination, Business Operations or another cross-functional execution role.
- Demonstrated ability to obtain results through people who may not directly report to you.
- Ability to manage several unrelated assignments and deadlines simultaneously.
- Strong planning, prioritisation, problem-solving and follow-through.
- Respectful assertiveness and comfort handling difficult conversations.
- High attention to detail and willingness to verify physical execution personally.
- Clear communication with senior management, employees and vendors.
- Working knowledge of spreadsheets, documents, email and project-management systems.
- Strong English communication. Kannada and/or Hindi will be advantageous.
- High integrity, confidentiality and complete honesty when reporting status.
- Willingness to work on-site and interact with office, warehouse and field teams.

Experience in manufacturing, FMCG, fresh produce, logistics, warehousing, retail, hospitality, facilities management or an early-stage company will be particularly relevant. Personal Attributes The successful candidate will demonstrate exceptional ownership, persistence, strong personal discipline, sound judgment, practical problem-solving, attention to detail, an ability to anticipate problems and genuine satisfaction in completing work properly.

This role may not be suitable for candidates seeking a strategy-only, presentation-focused, remote, desk-only or conventional secretarial position. It also requires someone who understands that sending a reminder is not the same as achieving completion.

Success will be measured primarily by the timely and verified completion of CEO-assigned requirements, the early identification of risks, the reliability of status information and a measurable reduction in the CEO’s involvement in routine coordination and follow-up.
