About the RoleAlgohype Analytics is looking for a highly organized, proactive, and detail-oriented Event Coordinator and Operations Specialist to manage day-to-day business operations, maintain quality standards, and coordinate the planning and execution of events.
The ideal candidate will be a strong multitasker who can coordinate across teams, manage vendors and stakeholders, maintain strict timelines, and solve problems calmly in rapid-paced situations. This role requires a combination of operational discipline, attention to detail, and hands-on event management experience.
Key ResponsibilitiesOperations and Quality Control
- Oversee day-to-day business operations and ensure smooth coordination across departments.
- Establish, implement, and maintain effective Quality Control processes across content, campaigns, communications, and client deliverables.
- Review major deliverables to ensure quality, accuracy, consistency, completeness, and timely completion.
- Track ongoing projects, responsibilities, deadlines, and dependencies across internal teams.
- Identify operational gaps, bottlenecks, and recurring issues, and implement processes to improve efficiency and productivity.
- Develop and maintain standard operating procedures, checklists, workflows, reporting systems, and documentation.
- Coordinate with internal teams to ensure projects are executed according to agreed timelines and quality standards.
- Follow up with relevant team members and stakeholders to prevent delays and ensure accountability.
- Provide regular operational updates and flag risks or delays to management in advance.
Events and Event Management
- Plan, coordinate, and oversee corporate, promotional, media, public-facing, and large-scale events.
- Manage the complete event lifecycle, from initial planning and budgeting to on-ground execution and post-event closure.
- Prepare event plans, budgets, timelines, checklists, responsibility matrices, and execution schedules.
- Identify, evaluate, negotiate with, and coordinate vendors, venues, agencies, production teams, and service providers.
- Manage event logistics, including venue coordination, transportation, accommodation, equipment, branding, production requirements, permissions, and guest movement.
- Coordinate with internal teams, external agencies, sponsors, partners, speakers, dignitaries, guests, media representatives, and other stakeholders.
- Manage guest lists, invitations, registrations, confirmations, seating arrangements, hospitality, and on-ground assistance.
- Ensure all event-related materials, communications, branding, and deliverables meet the required quality standards.
- Supervise event setup, rehearsals, live execution, and dismantling.
- Handle on-ground problem-solving, last-minute changes, and crisis management calmly and professionally.
- Ensure every event is delivered within the approved budget and timeline while meeting organizational objectives.
- Conduct post-event reviews and prepare reports covering outcomes, expenses, feedback, challenges, and recommendations.
Required Skills and Qualifications
- Bachelor’s degree in Event Management, Business Administration, Marketing, Communications, Hospitality, or a related field.
- 2–5 years of relevant experience in event coordination, operations, project management, or a similar role.
- Demonstrated experience managing corporate, promotional, media, or large-scale events.
- Strong organizational, planning, coordination, and time-management abilities.
- Excellent attention to detail and a strong understanding of quality control.
- Ability to manage multiple projects, deadlines, teams, and stakeholders simultaneously.
- Strong verbal and written communication skills.
- Confidence in coordinating with senior professionals, speakers, guests, vendors, and external partners.
- Good negotiation, budgeting, and vendor-management skills.
- Ability to remain calm and make quick decisions during high-pressure situations.
- Strong problem-solving skills and a high sense of ownership and accountability.
- Proficiency in Microsoft Office or Google Workspace and project-management tools.
- Willingness to travel and work flexible hours, including evenings or weekends, when required for events.
Preferred Qualifications
- Existing network of event vendors, venues, production agencies, or media partners.
- Experience managing event budgets and vendor negotiations.
- Experience developing SOPs, quality-control checklists, and operational workflows.
- Familiarity with digital marketing, content production, campaigns, or agency operations.
- Experience coordinating high-profile guests, speakers, dignitaries, sponsors, or media representatives.
