Responsibilities :

1.
**Vendor Rostering, On-Boarding**
- Accurately collate data on vendors to enable smooth purchase order raising
- Maintain an accurate database of vendors / suppliers to facilitate rate comparison, and speedy decision making for procurement

2. **
Purchase Order Preparation

**
- Ensure accurate PO’s are prepared based on rates negotiated and agreed.
- Inquire into project budget adequacy with Finance before each PO is released.
- Coordinate with Finance on payments schedules before POs are released.

3. **
Order Fulfillment Tracking

**
- Keep track of receipts of inventory and completion of job work until PO is filled
- Keep the PO fulfillment database until closure of each order

4. **
Logistics Facilitation and Inventory Management

**
- Coordinate with transporter for loading, despatch outward, progress of transit, despatch arrival/inward, receipt of materials and storage at warehouse or site
- Review transport POs and ensure payments are made by Finance in a timely manner to ensure logistics movements are timely and appropriate




- Facilitating inventory management from record keeping, physical verification, balance management, and reordering

5. **
Basic Vendor Account Management

**
- Preparing vendor statements of accounts and matching them with Finance records / books of account
- Keeping a schedule of accounts payable stating when each bill falls due for payment and is paid

6. **
Reporting and Analysis

**
- Filling in pre-formatted reports on purchasing activities, including tracking expenditures, analyzing trends, and providing insights to improve procurement processes.

7. **
Compliance and Collaboration

**
- Work closely with the Finance team to ensure timely and accurate processing of accounting information.
- Communicate with vendors and internal stakeholders to address inquiries and resolve issues.
