Job Summary

The Dispatch Executive is responsible for planning, coordinating, and executing the timely dispatch of finished materials, furniture, fixtures, and interior products to project sites or customers. The role ensures accurate documentation, proper packing, vehicle coordination, and compliance with company quality and safety standards.

Key Responsibilitie of Dispatch executive
- Prepare daily and weekly dispatch schedules based on project requirements.
- Coordinate with Production, Quality, Stores, and Project teams for dispatch readiness.
- Ensure materials are dispatched according to project priorities and delivery timelines.

Material Verification
- Verify finished goods against approved Bill of Materials (BOM), packing list, and delivery challan.
- Ensure correct quantity, dimensions, and specifications before dispatch.
- Check for damages, defects, or missing items before loading.

Documentation
- Prepare and maintain:
- Delivery Challans
- E-Way Bills (where applicable)
- Transport documents
- Packing Lists
- Gate Passes
- Dispatch Register




- Maintain accurate dispatch records in ERP or Excel.

Vehicle & Logistics Coordination
- Arrange transport vehicles as per dispatch requirements.
- Coordinate with transporters and drivers regarding loading time and delivery schedules.
- Track shipments until they reach the customer or project site.

Loading Supervision
- Supervise protected loading and unloading of materials.
- Ensure proper packing, labeling, and securing of materials to prevent transit damage.
- Verify vehicle capacity and loading sequence.

Coordination
- Work closely with:
- Production Department
- Stores
- Quality Team
- Purchase Department
- Project Engineers
- Site Engineers
- Transport Vendors

Inventory Support
- Update dispatched quantities in ERP or inventory records.
- Assist in stock verification and inventory reconciliation.
- Report shortages or discrepancies immediately.
