About the Role

We are seeking an experienced and detail-oriented
Accounting & Operations Manager

to oversee the day-to-day financial and administrative operations of our U.S.-based portfolio. In this role, you will own the end-to-end accounting cycle, manage corporate books, Accounts Receivable, Accounts Payable, Vendor Payments, Oversee & Reconcile Trust Accounts, Landlord Statements, and lead critical vendor operations.

While this role supports a real estate portfolio, we are looking for a versatile financial professional. If you have a solid background in multi-entity accounting, trust/escrow management, or operational bookkeeping—even outside of traditional property management - we encourage you to apply.

Key Responsibilities
1. Accounting & Compliance
- Account Reconciliations:

Perform monthly 3-way reconciliations for escrow, trust, or client accounts, ensuring absolute alignment between bank statements, the general ledger, and individual sub-ledgers.
- Security Deposit & Fund Auditing:





Manage and reconcile security deposits or restricted client funds in compliance with relevant state regulations and industry standards.
- Discrepancy Resolution:

Promptly investigate, document, and resolve ledger variances, outstanding checks, and timing differences.

2. Vendor Coordination & Accounts Payable/Receivable
- Vendor Liaison:

Act as the primary administrative contact for domestic contractors, service providers, and utility companies.
- Full-Cycle AP & AR:

Oversee the invoice approval pipeline, ensure accurate account and class coding, and coordinate weekly payment runs. Manage the invoicing process, track incoming payments, and follow up on outstanding balances.
- Compliance & Tax Tracking:

Manage vendor onboarding, verify Certificates of Insurance (COI), collect W-9s, and facilitate the annual 1099-NEC/1099-MISC tax filing process.
