JOB DESCRIPTION: PURCHASE EXECUTIVE

Position: Purchase Executive

Department: Procurement / Purchase

1. Purpose of the Role

To ensure timely, cost-effective, and quality procurement of raw materials, consumables, spare parts, and services required for smooth operation of RMC plant and heavy fabrication Factory

2. Key Responsibilities

A. Procurement Planning & Coordination
- Understand material requirements from Production, QA/QC, Maintenance, and Store departments.
- Prepare and process Purchase Requisitions (PR) and convert them into Purchase Orders (PO).
- Ensure availability of critical materials such as:
- Cement, aggregates, admixtures (RMC)
- Steel, plates, sections, welding consumables (Fabrication)
- Machinery spare parts, tools, and consumables

B. Vendor Management
- Identify, evaluate, and develop reliable vendors/suppliers.
- Maintain an Approved Vendor List (AVL) as per ISO requirements.
- Conduct vendor comparison based on:
- Price
- Quality
- Delivery timelines
- Negotiate rates, credit terms,



and contracts to achieve cost savings.

C. Purchase Order Management
- Prepare accurate and authorized Purchase Orders with complete specifications.
- Ensure all POs include:
- Technical specifications
- Quantity and delivery schedule
- Payment terms
- Follow up with suppliers for timely delivery.

D. Cost Control & Budget Monitoring
- Ensure procurement within approved budget.
- Maintain cost records and support cost reduction initiatives.
- Compare quotations (minimum 3 quotes preferred for audit compliance).

E. Inventory & Store Coordination
- Coordinate with Stores to:
- Monitor stock levels
- Avoid overstocking or stock-outs
- Support implementation of FIFO / stock control systems.

F. Quality & Compliance
- Ensure procured materials meet required quality standards.
- Coordinate with QA/QC for inspection and approval.
- Ensure compliance with:
- ISO standards (9001 / 14001 / 45001 as applicable)
