In the travel and tourism industry, an Accountant cum Admin (Rate Auditing & Price Book) is responsible for ensuring the accuracy of vendor costs, preventing pricing errors, and maintaining up-to-date master price lists for tour packages, hotels, and transport.Core Job Responsibilities1. Rate Auditing & Cost Verification
- Invoice Auditing: Cross-check incoming vendor bills (hotels, airlines, local transport, tour guides) against agreed contract rates.
- Discrepancy Resolution: Identify, flag, and resolve overcharges or billing errors directly with suppliers.
- Refund Tracking: Manage and track cancellations, amendments, and eligible vendor refunds.
- Margin Protection: Ensure actual tour operating costs align perfectly with estimated budgets to protect company profits. [1]

2. Price Book Creation & Maintenance
- Master Tariff Database: Build, update, and manage the company’s internal price books and Rate Sheets for all destinations.
- Contract Integration: Review seasonal vendor contracts (Peak, Lean, Shoulder seasons) and input accurate rates into the booking system.




- Markup Application: Apply standard company profit margins, taxes, and hidden fees to create final retail pricing.
- Energetic Pricing Updates: Adjust price books quickly based on currency fluctuations, sudden fuel surcharges, or peak holiday tariffs. [1]

3. Administrative & Coordination Support
- Vendor Relationship Management: Maintain a centralized repository of active vendor contracts, non-disclosure agreements (NDAs), and contact details.
- Sales Support: Act as the internal point of contact for the sales and ticketing teams to clarify complex pricing or special group quotes.
- Record Keeping: Archive all past rate books and audit trails systematically for seasonal financial reviews.

Key Requirements & Skills
- Industry Knowledge: Deep understanding of travel pricing structures, including FIT (Free Independent Traveler) rates, GIT (Group Inclusive Tour) rates, net rates, and gross margins. [1]
