Vilas Transcore Limited, having a solid presence in Vadodara since 1996, is engaged in the manufacturing of Transformer Radiators, CRGO Products, and Transformer Components. We are looking for an experienced and responsible Stores Manager to manage material receipt, storage, inventory control, SAP transactions, and overall stores operations.

Job Summary

The Stores Manager will be responsible for managing the end-to-end material receipt, inspection, storage, inventory control, and inward operations of the organization.

The role will coordinate closely with the Purchase, Planning, Quality, User, Import Purchase, and Production teams to ensure timely receipt and availability of materials. The incumbent will supervise inward documentation, unloading, physical verification, storage, SAP entries, GRN, stock transfers, inventory accuracy, and overall stores discipline.

Key Responsibilities1. Material Planning & Inward Coordination

- Review purchase schedules and ensure readiness for incoming raw materials and other inventory requirements.

- Coordinate with the Purchase Department regarding planned material arrivals and delivery schedules.

- Ensure availability of manpower, material handling equipment, and adequate storage space before vehicle arrival.

- Coordinate with Planning and Import Purchase teams regarding raw material inward status.

- Ensure smooth and timely inward movement of materials.

2. Inward Documentation & Verification

- Verify all inward documents, including:

- Purchase Orders (PO)

- Invoices

- Delivery Challans

- E-way Bills

- Other relevant documents

- Ensure documentation is complete and accurate before material receipt.

- Identify and resolve documentation mismatches in coordination with Purchase and suppliers.

3. Material Receipt & Physical Inspection

- Supervise safe and timely unloading of incoming materials.

- Ensure unloading is carried out as per company procedures and material handling guidelines.

- Oversee physical verification of received materials for:

- Quantity

- Quality

- Specifications

- Physical condition

- Coordinate with Quality and User Departments for inspection and acceptance of materials.





- Ensure timely clearance of accepted materials for production and other users.

4. SAP & Inventory Management

- Ensure timely and accurate SAP inward entries.

- Supervise preparation of Goods Receipt Notes (GRN).

- Ensure proper stock transfer and inventory update in SAP.

- Monitor pending SAP transactions and ensure timely closure.

- Review daily inward reports and resolve system-related issues.

- Maintain accurate inventory records and ensure proper stock reconciliation.

5. Storage & Material Management

- Approve appropriate storage locations for incoming materials.

- Ensure proper plant-wise stacking, storage, identification, and organization of materials.

- Ensure proper labeling and identification of all materials.

- Maintain material traceability for inventory control and audit requirements.

- Ensure optimum utilization of available storage space.

- Implement systematic material handling and storage practices.

6. Discrepancy & Supplier Coordination

- Investigate discrepancies such as:

- Shortage

- Excess quantity

- Damaged materials

- Specification mismatch

- Documentation mismatch

- Coordinate with Purchase, Quality, User Departments, and Suppliers to resolve material-related issues.

- Ensure proper recording and reporting of discrepancies.

- Follow up for replacement, shortage recovery, or other corrective actions as required.

7. Safety, Housekeeping & Compliance

- Ensure compliance with warehouse and material handling safety standards.

- Maintain proper 5S and housekeeping in all stores areas.

- Ensure safe handling, movement, and storage of materials.

- Ensure compliance with company stores procedures and internal control systems.

- Maintain proper records for audits and statutory requirements.

8. Team Management

- Supervise and guide stores personnel involved in material receipt, storage, inventory, and dispatch activities.

- Allocate manpower effectively according to daily workload.

- Monitor team performance and discipline.





- Train employees on proper material handling, SAP procedures, documentation, safety, and storage practices.

- Develop a responsible and efficient stores team.

9. MIS & Reporting

- Review daily inward and inventory reports.

- Monitor pending GRNs, stock transfers, inspections, and documentation.

- Communicate raw material inward status to Planning and Import Purchase teams.

- Prepare stores-related MIS and reports for Management.

- Ensure accurate and timely reporting of inventory and inward activities.

10. Process Improvement

- Identify opportunities to improve stores processes and inventory accuracy.

- Implement systems to reduce material handling time and inward delays.

- Improve storage utilization and material traceability.

- Support continuous improvement initiatives in Stores and Material Management.

- Ensure efficient and cost-effective stores operations.

Desired Skills & Competencies

- Strong experience in Stores / Warehouse Management in a Manufacturing Industry.

- Minimum 12+ years of relevant experience.

- Strong knowledge of material receipt, inward, storage, inventory control, and material handling.

- Good working knowledge of SAP – GRN, stock transfer, inventory transactions, and material records.

- Strong understanding of Purchase Orders, Invoices, Delivery Challans, and E-way Bills.

- Good knowledge of inventory control and stock reconciliation.

- Strong manpower handling and team management skills.

- Good coordination skills with Purchase, Planning, Quality, Production, and Suppliers.

- Knowledge of 5S, safety, housekeeping, and warehouse control systems.

- Strong analytical, problem-solving, and decision-making abilities.

- Good knowledge of MS Excel and Stores MIS.
