– PURCHASE EXECUTIVE
Position: Purchase Executive
Department: Procurement / Operations
Reporting To: AGM – Operations / Purchase Manager
Location: C Kare Health Group
Job Purpose The Purchase Executive will be responsible for managing the procurement of dental materials, medical supplies, consumables, equipment, office requirements, and other operational items. The role involves vendor coordination, purchase order management, price negotiation, inventory coordination, and ensuring timely availability of required materials.
Key Responsibilities1. Procurement Management
- Receive and review purchase requirements from departments and branches.
- Source materials and products from approved vendors.
- Obtain and compare quotations from multiple suppliers.
- Prepare purchase orders after obtaining the required approvals.
- Ensure timely procurement of materials without affecting clinical operations.
- Follow up with suppliers regarding pending orders and deliveries.
1. Vendor Management
- Identify and evaluate potential suppliers.
- Maintain a database of approved vendors.
- Negotiate prices, payment terms, delivery schedules, and other commercial terms.
- Monitor vendor performance, quality, pricing, and delivery timelines.
- Develop and maintain professional relationships with key suppliers.
1. Inventory & Stock Coordination
- Coordinate with branch teams to monitor stock levels.
- Identify rapid-moving, slow-moving, and critical stock items.
- Ensure minimum stock levels are maintained for essential dental and medical materials.
- Monitor expiry dates of materials wherever applicable.
- Coordinate with stores/branch teams for stock verification and reconciliation.
1. Cost Control
- Compare supplier quotations and identify cost-effective options.
- Negotiate competitive rates and bulk purchase discounts.
- Monitor purchase prices and identify opportunities for cost reduction.
- Avoid unnecessary purchases and excess inventory.
- Ensure purchases are made within approved budgets.
1. Documentation & Reporting
- Maintain purchase orders, quotations, invoices, delivery records, and vendor documents.
- Maintain purchase records branch-wise and category-wise.
- Prepare weekly and monthly purchase reports.
- Track pending purchase orders and deliveries.
- Provide management with purchase cost and vendor-related reports when required.
1. Quality & Compliance
- Ensure purchased materials meet the required specifications and quality standards.
- Verify quantity and specifications against purchase orders upon receipt.
- Coordinate with concerned departments in case of defective, damaged, or incorrect materials.
- Ensure proper documentation for regulated or specialized healthcare materials where applicable.
1. Coordination
- Coordinate with doctors, dental assistants, branch coordinators, accounts, stores, and operations teams.
- Communicate expected delivery dates to concerned departments.
- Coordinate with Accounts regarding invoices, payments, and vendor documentation.
- Escalate delayed deliveries, price discrepancies, quality issues,
and critical stock shortages to management.

Required Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, Commerce, Logistics, or a related field.
- Experience in healthcare, dental, hospital, medical supplies, or general procurement is preferred.
- Good knowledge of MS Excel, Word, and purchase/inventory management systems.

Experience Preferred: 1–3 years of experience in procurement, purchasing, supply chain, inventory, healthcare procurement, or a similar role.
Accountability The Purchase Executive will be accountable for ensuring timely and cost-effective procurement, maintaining proper purchase documentation, coordinating with vendors, preventing stock shortages, controlling procurement costs, and ensuring the availability of essential materials for uninterrupted operations.
Pay: From ₹15,000.00 per month
