Role Overview The Procurement Executive – Buyer (RRD Estimator) will support the end-to-end sourcing and procurement activities by working closely with Category Managers, Internal stakeholders and external vendors. This role acts as a key liaison between Estimation, Vendors, and RRD Plants to ensure accurate pricing, cost optimization, timely delivery, and compliance with organizational processes.

Basic Requirements

1. Excellent verbal and written communication skills, as the role involves close coordination with RRD Onshore Buyer teams, Managers, Vendors and Plants.
2. Strong proficiency in Google Workspace / G-Suite, including Google Sheets, Google Forms, Google Slides, and Google Studio.
3. Hands-on experience with ERP systems such as SAP, ServiceNow, and ARIBA.
4. Ability to quickly adapt and work with new tools and applications used by the organization.
5. Solid understanding of the end-to-end procurement lifecycle,



including sourcing, quoting, ordering, and post-order follow-ups.
6. Working knowledge of Smartsheet, including opening and closing tickets, updating comments, and tracking issue resolution.
7. Robust analytical and problem-solving skills with attention to detail.

Roles & Responsibilities

- Act as a primary point of contact and bridge between Vendors and Category Managers.
- Review the US market and collect all required specifications and information needed to initiate the quoting process.
- Initiate Requests for Quotation (RFQs) to vendors via email or phone and follow up to obtain accurate pricing, lead times, and production details.
- Coordinate with multiple vendors and evaluate quotes based on cost, turnaround time, quality, and payment terms.
- Analyze vendor quotations and identify cost-saving opportunities through pricing negotiation, alternative sourcing.
- Return validated and analyzed pricing to vendors within defined timelines.
- Address and resolve vendor related queries clearly and professionally.
- Create and process Purchase Orders (POs) in ERP systems and submit orders for production.
- Assist in reviewing and approving contracts
- Maintain and update the sourcing Tracker and Smartsheet tickets with accurate status, comments, and resolution details.
- Monitor order execution, including delivery timelines, shipment tracking numbers, proof of delivery, and handle escalations when required.
- Prepare and submit Cost Savings where savings are achieved.
- Participate in weekly calls with the Onshore RRD Leadership team to discuss open items, updates, process clarifications, and continuous improvement initiatives.
- Ensure adherence to internal procurement policies, systems, and audit requirements throughout the sourcing and ordering process.
