JD For Front Office Executive A Front Office Executive (FOE) acts as the primary point of contact and "face" of an organization, managing the reception area, welcoming visitors, and handling communication. Key responsibilities include handling phone calls, scheduling meetings, managing incoming/outgoing mail, and performing clerical tasks.
Front Desk Representative to undertake all receptionist and clerical duties at the desk of our main entrance. You will be the “face” of the company for all visitors and will be responsible for the first impression we make.
The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential.
The goal is to make guests and visitors feel comfortable and valued while on our premises.
Key Responsibilities
- Visitor Management: Greeting guests, issuing visitor badges, and maintaining the visitor log.
- Communication: Answering, screening, and forwarding incoming phone calls; managing emails and couriers.
- Administrative Support: Filing, scanning, copying, and updating documents.
- Scheduling: Organizing appointments and managing front-desk calendars.
- Front Desk Maintenance: Ensuring the reception area is clean and professional.
- Security & Safety: Maintaining office security by controlling access via the reception desk.
- Keeping front desk tidy and presentable with all necessary material

- Answering questions and addressing complaints

Required Skills And Qualifications
- Experience: Previous experience in a similar role (1–5 years) is often required.
- Communication: Exceptional verbal and written communication skills.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office equipment (printers, scanners).
- Professionalism: Strong interpersonal skills, a customer-centric attitude, and a professional demeanour.
- Education: A high school diploma or a bachelor's degree in hospitality or a related field.
- Proven experience as front desk representative, agent or relevant position
- Familiarity with office machines (e.g. fax, printer etc.)
- Knowledge of office management and basic bookkeeping
- Proficient in English (oral and written)
- Excellent knowledge of MS Office (especially Excel and Word)
- Solid communication and people skills
- Good organizational and multi-tasking abilities
