- Role Overview

We are seeking a highly motivated and hands-on Process Optimization & Digital Enablement Specialist to design, build, and continuously improve efficient, scalable, in-house digital workflows that enhance productivity, reduce manual effort, and strengthen execution across Distribution processes.

This role focuses on end-to-end process improvement—from process mapping and redesign to digitisation, deployment, and sustained adoption—using Microsoft 365 and low-code workflow tools. The incumbent will work closely with L&D; stakeholders, sales distribution teams, and operations partners to streamline learning operations, compliance tracking, onboarding journeys, and enablement workflows.

The role serves as a core process excellence enabler within Distribution L&D;, ensuring consistency, transparency, and operational efficiency across learning and distribution-facing processes.

Process

Digitisation & Workflow Development

- Design, build, test, and deploy digital workflows using Microsoft ecosystem tools to support L&D; and Distribution operations.
- Convert manual, email-driven, and spreadsheet-based processes into structured, trackable digital workflows.
- Create end-to-end process flows integrating Microsoft 365 applications (SharePoint, Outlook, Teams, Excel, Forms, Planner, OneDrive, Power BI).
- Implement approvals, validations, notifications, and reusable components to ensure scalability and consistency.
- Ensure robustness through appropriate controls, version management, performance monitoring, and documentation.

B. L&D; and Sales Distribution Process Optimization

- Map, analyze,



and document existing L&D; and Distribution processes to identify inefficiencies and improvement opportunities.
- Redesign processes with a focus on turnaround time reduction, accuracy improvement, effort optimization, and clarity of ownership.
- Develop digital solutions to support:

o Distributor and advisor onboarding journeys o Training nominations, scheduling, and attendance tracking o Certification, compliance, and regulatory learning processes o Assessments, evaluations, and structured feedback mechanisms o Content publishing and learning operations

- Partner with Sales Distribution stakeholders to standardize and optimize enablement-related processes.
- Integrate workflows with LMS platforms, portals, and internal systems where applicable.

C. Adoption, Enablement & Change Support

- Work closely with business users to ensure smooth adoption of newly implemented workflows.
- Conduct user walkthroughs, demos, and training sessions for L&D; and Distribution teams.
- Create and maintain SOPs, user guides, and process documentation.
- Capture user feedback and continuously refine workflows to improve usability and effectiveness.

D. Data, Reporting & Operational Insights

- Enable structured data capture and consolidation across L&D; and Distribution workflows.
- Support operational MIS, trackers, and trigger-based alerts for better visibility and decision-making.
- Feed reliable and structured data into dashboards (Power BI or Excel-based).
- Ensure data accuracy, consistency, security, and compliance with organizational policies.

E. Governance, Controls & Continuous Improvement

- Maintain comprehensive documentation for workflows, process logic, and enhancements.




- Monitor workflow health and address failures or exceptions in a timely manner.
- Ensure adherence to internal IT, security, privacy, and data governance guidelines.
- Support audits, internal reviews, and periodic process improvement initiatives.

Required Skills & Competencies

Technical Skills

- Strong proficiency in Microsoft Power Automate (cloud flows and desktop flows).
- Working knowledge of Power Platform components – Power Apps and Power BI (basic to intermediate preferred).
- Good understanding of workflow design, connectors, triggers, approvals, and controls.
- Hands-on experience with Microsoft 365 tools including SharePoint, Teams, Outlook, Excel, and Forms.
- Basic familiarity with SQL, Python, or JavaScript (good to have, not mandatory).

Process & Analytical Skills

- Strong ability to understand, map, and redesign business processes.
- Analytical mindset with attention to detail and operational metrics.
- Ability to translate business requirements into structured and scalable workflows.

- Process improvement, workflow, or RPA-related certifications (added advantage)
