The Back Office Executive will provide essential administrative and operational support to the Sales and Marketing team. This role bridges the gap between field sales, production, and customers, ensuring accurate order processing, timely documentation, and smooth day-to-day sales operations.

Core Responsibilities

- Sales Support & Order Processing: Process customer purchase orders (POs), generate pro-forma invoices, and maintain sales records in the ERP system.

- Documentation & Logistics: Prepare quotation documents, tender submissions, shipping documents, and coordinate with the logistics/warehouse department for timely dispatch.

- Customer Liaison: Serve as the primary point of contact for customer inquiries regarding order status, inventory availability, technical specifications, and delivery timelines.

- MIS Reporting: Create daily/weekly sales reports, dashboards, and market research data reports to track sales performance and inventory levels.

- Sales Coordination: Assist sales personnel by updating client databases (CRM),



organizing tender documents, and providing administrative support.

Requirements

- Experience: 1–3 years of experience in sales support or administrative roles, preferably in the electrical, electronics, or manufacturing sector.

- Education: Bachelor’s degree in Business Administration, Marketing, or similar.

- Technical Skills: Proficient in MS Office (Advanced Excel, PowerPoint) and experience with ERP systems (e.g., SAP, Oracle, Zoho).

- Interpersonal Skills: Solid written/verbal communication, ability to prioritize tasks, and high attention to detail.

Key Performance Indicators (KPIs)

- Accuracy: Order entry accuracy rates.

- Speed: Time taken to process quotations and invoices.

- Support: Efficiency in supporting the sales team's targets.
