Seamless Assist is seeking a highly organized Executive Operations Coordinator to support executive productivity and day-to-day operations in a fast-paced remote setting. This role focuses on calendar management, communication, operational coordination, and structured workflow support, while leveraging AI tools to improve efficiency.
Candidates must be available during PST–EST business hours and have B2+ English proficiency.
Key Responsibilities
- Manage executive calendars, scheduling, and meeting coordination across time zones
- Organize and prioritize executive inbox communications
- Draft professional emails, reports, and documentation
- Track deadlines, tasks, and follow-ups for leadership
- Prepare meeting agendas, notes, and action items
- Maintain organized digital filing and documentation systems
- Support cross-functional communication and operational coordination
- Conduct research and compile information for executive decision-making
- Use AI tools (ChatGPT or similar) to assist with drafting, summarizing, and workflow organization
Requirements
- 1–3 years experience in executive support, administrative, or operations coordination roles
- Availability during PST–EST business hours
- B2+ English proficiency
- Strong organizational and multitasking skills
- Proficiency with Google Workspace or Microsoft Office
- Ability to work independently with minimal supervision
- High level of professionalism and discretion
