Job Description: Society Accountant
Position Title: Society Accountant / Community Financial Officer

Job Overview
We are seeking a detail-oriented, organized, and reliable Society Accountant to manage the financial records, day-to-day accounting, and compliance requirements for our residential community. The candidate will be responsible for maintaining ledger accounts, generating monthly maintenance billing, tracking resident payments, managing vendor payouts, and ensuring compliance with local co-operative housing society regulations and statutory audit requirements.
Key Responsibilities & Duties
1. Maintenance Billing & Collections
- Generate and distribute monthly/quarterly maintenance bills to residents in a timely manner.
- Track maintenance payment dues, send payment reminders, and calculate late payment charges or interest where applicable.
- Reconcile payment receipts across online payment gateways, bank transfers, and cheque deposits.
- Issue official receipts for all collections, move-in/move-out fees, and facility booking charges.
2. General Ledger & Financial Accounting
- Maintain complete and up-to-date accounting records using society accounting software (e.g., MyGate, NoBrokerHood, Tally, or similar platforms).
- Manage Accounts Payable: Verify vendor invoices, record purchase orders, and process payments for facility management, security, landscaping, utility bills, and maintenance services.
- Maintain petty cash accounts for daily operational expenses with proper voucher verification.
- Perform monthly bank reconciliations for all society bank accounts.
3. Budgeting, Reporting & Audit Preparation
- Prepare monthly financial reports, including Income & Expenditure statements, Balance Sheets,
and dues-aged reports for the Treasurer and Managing Committee.
- Assist the Managing Committee in drafting the annual operating budget and Corpus/Sinking Fund reserves.
- Prepare all books of accounts, ledger schedules, and supporting documents for the annual statutory audit.
- Address auditor queries and ensure timely filing of audited accounts before the Annual General Body Meeting (AGM).
4. Statutory & Regulatory Compliance
- Calculate and ensure timely deposit of applicable taxes (e.g., TDS, GST if threshold is crossed) and file periodic returns.
- Ensure compliance with state-specific Cooperative Societies Acts and local bylaws regarding financial reserve funds (Sinking Fund, Repair & Maintenance Fund, etc.).
- Maintain statutory registers and official financial records as required by regulatory authorities.
Qualifications & Skills Required
- Education: Bachelors Degree in Commerce (B.Com), Finance, Accounting, or equivalent qualification.
- Experience: 2-5 years of hands-on accounting experience, preferably within Housing Societies (Cooperative Housing Societies / Resident Welfare Associations) or Property Management firms.
Technical & Core Competencies:
- Proficiency in accounting software (Tally, Zoho Books) and community management ERPs (ADDA, MyGate, NoBrokerHood, etc.).
- Robust command of MS Excel (VLOOKUP, Pivot Tables, summary reports) and MS Office.
- Solid understanding of double-entry bookkeeping, GST, TDS applicability, and financial reconciliation.
- Knowledge of housing society accounting norms, bylaws, and reserve fund allocations.
Soft Skills:
- High level of integrity, ethical standards, and confidentiality.
- Excellent written and verbal communication skills for addressing resident financial queries politely and professionally.
- Strong attention to detail and organizational skills.
