Roles and Responsibilities

1. Vendor Management

Identify, evaluate, and develop reliable suppliers for raw materials, machining parts, and consumables.

Maintain valuable relationships with existing vendors.

Negotiate prices, terms, and delivery schedules.

2. Procurement Process

Receive and review purchase requisitions from different departments.

Prepare and issue purchase orders (PO) as per approved rates and specifications.

Ensure timely purchase and delivery of materials to avoid production delays.

3. Cost Control & Negotiation

Compare quotations from multiple suppliers.

Negotiate for best quality at lowest possible cost.

Monitor price trends of key materials.

4. Inventory Coordination

Work closely with stores and production to maintain optimum stock levels.

Avoid both shortage and overstock situations.

Support monthly stock checking and reconciliation.

5. Documentation & Compliance





Maintain proper records of quotations, purchase orders, and supplier invoices.

Ensure compliance with company procurement policies and audit requirements.

6. Quality & Inspection Coordination

Ensure materials meet required quality standards and specifications.

Coordinate with quality department for inspection and approval.

7. Follow-up & Delivery Tracking

Track material dispatch and delivery status.

Follow up with vendors for on-time supply.

8. Support for New Projects / Developments

Source new items and suppliers for recent product development (NPD).

Assist in trial materials procurement.

9. Reporting

Prepare daily/weekly purchase status reports.

Highlight pending orders or material shortages to management.
