Sales Coordinator

Department: Sales & Business Development

Location: Mahape, Navi Mumbai

Reporting To: Vice President – Sales

Experience: 3 – 5 years

Responsibilities

Prepare and send accurate, timely price quotations to customers and distributors based on inputs from the VP – Sales. Create, process, and track sales orders from confirmation through to invoicing.

Coordinate closely with the production team to confirm order timelines, material availability, and manufacturing status. Liaise with the dispatch/logistics team to ensure timely shipment, and share tracking and delivery updates with customers.

Follow up proactively with customers and prospects via email and WhatsApp on pending quotations, orders, and payments. Maintain and update the CRM / sales tracker with inquiry status, order status, and follow-up history.

Schedule and coordinate meetings, calls, and appointments for the VP – Sales, including calendar management. Draft, proofread, and send routine business correspondence (emails, order confirmations, follow-up notes).





Coordinate documentation required for order processing, including basic export paperwork where applicable (training will be provided). Prepare periodic MIS reports / sales trackers (inquiry pipeline, order status, dispatch status) for management review.

Act as the single point of coordination between the sales, production, dispatch, and accounts teams to ensure smooth order execution. Support the VP – Sales with any other back-office activity required to keep the sales process running smoothly. Required Skills & Competencies

Strong written and verbal communication skills in English (additional language skills a plus). Excellent coordination and follow-up discipline — able to track multiple open items across teams without things slipping through.
