Overview
We are looking to recruit a Specialist - Project/Programme to join the Gallagher Retail Change Operation Team.
The Specialist will play a key role in supporting demand management, portfolio governance, and change delivery activities across the Retail business. The role is responsible for managing the intake, triage, prioritisation, and tracking of change requests, ensuring work is aligned with business priorities, available capacity, and divisional objectives. The successful candidate will support governance processes by coordinating the Retail Change Forum, preparing governance documentation and management reporting, maintaining visibility of change demand, and providing stakeholders with accurate insights on progress, risks, issues, dependencies, and outcomes.
Working closely with Divisional Business Leaders, the Head of Change, Project Managers, and functional stakeholders across the division, the role will provide governance, oversight, and coordination across operational teams, business functions, and change initiatives. The position will support a broad range of business and operational activities, including system implementations, business change, integrations, and continuous improvement initiatives.
The role reports to the Head of Change and Portfolio Manager and works collaboratively with project teams and stakeholders across multiple locations. The successful candidate will be comfortable working independently, managing
competing priorities, coordinating governance activities, escalating risks and issues where appropriate, and supporting informed decision-making through timely and accurate reporting.
A keen eye for detail, strong organisational skills, and the ability to maintain accurate documentation and reporting are essential. The role requires experience or knowledge of project, programme, change, demand, risk, business analysis, or portfolio management, together with proficiency in Microsoft Office applications. Strong PowerPoint skills are particularly important for developing presentations, dashboards, and management reports. Knowledge of Power BI, MS Visio, and project management tools would be advantageous.

Responsibilities:
Primary Responsibilities of the Project/Program Management Specialist:
- Understand the objectives, scope, priorities, and dependencies across portfolios, programmes, projects, and change initiatives.
- Receive, review, and triage new business requests by assessing business impact, complexity, risks, dependencies, and resource requirements.
- Classify requests as projects, small changes, business-as-usual (BAU) activities, or operational work.
- Coordinate triage discussions and governance forums, ensuring decisions, actions, and outcomes are documented and communicated to stakeholders.
- Maintain and manage the change demand pipeline, providing visibility of requests, priorities, resource capacity, and progress.
- Support demand management processes to improve governance, prioritisation,
and decision-making across the portfolio.
- Support project and programme governance activities, including project setup, status tracking, data maintenance, and adherence to governance standards.
- Track and monitor key milestones, deliverables, dependencies, risks, issues, and actions, providing regular progress updates and ensuring timely closure.
- Maintain RAID logs and report on risks, assumptions, issues, dependencies, business impacts, and outstanding actions.
- Prepare and maintain portfolio, programme, project, and change governance reports for stakeholders.
- Support programme and portfolio-level budget monitoring, cost tracking, and reporting activities.
- Assist Programme Managers with resource planning, milestone tracking, risk management, and delivery reporting.
- Capture meeting minutes, key decisions, action items, and owners, and follow up on outstanding actions and deliverables.
- Create, update, and maintain programme documentation, plans, timelines, governance records, and expenditure tracking.
- Maintain the lessons learned repository and support post-implementation reviews to identify improvements and best practices.
- Develop, review, and maintain Standard Operating Procedures (SOPs) for project, programme, and business processes.
Business Analysis Activities
- Understand business requirements within the Insurance domain and document project requirements.
- Perform business analysis and impact analysis activities for projects and change initiatives.
- Create, update, and maintain business and project documentation.
- Work with business stakeholders and project teams to elicit, analyse, validate, prioritise, and categorise requirements using a variety of techniques and methodologies.
- Facilitate stakeholder workshops and requirement-gathering sessions to achieve alignment and consensus on business needs.
- Analyse and document As-Is and To-Be processes, data flows, business rules, and system interactions to support change initiatives.
- Collaborate with development, testing, and project teams to ensure requirements are translated into effective solutions and support User Acceptance Testing (UAT) activities.
- Assess the impact of business, process, system, and regulatory changes, identifying associated risks, dependencies, and opportunities.
Management Reporting
- Prepare executive-level project status reports and presentations to inform stakeholders of project progress and key updates.
- Create and maintain executive reporting packs, dashboards, and governance materials.
- Maintain the Consolidated Change Request Tracker, ensuring requests, priorities, statuses, dependencies, decisions, and outcomes are accurately recorded and kept up to date.
- Review project status, progress, milestones, risks, issues, and dependencies with Project Managers and project teams.
- Gather, analyse, and interpret project and portfolio data to identify trends, risks, issues, and opportunities for improvement.

About you
Qualifications:
- Any Graduate or Postgraduate
Licenses/Certificates
- Any Project Management Certification such as, Prince 2 Practioner, APM, PMP and Agile Certifications
Technical Knowledge:
- Knowledge of financial services industry useful
- Desire to learn and understand tools and applications
- Competent with Power BI advantageous
Essential:
- 6-8 years work experience in Project/Programme Management
- Good organisational and planning skills
- Strong attention to detail
- Ability to work in a complex environment and adapt to shifting priorities
- Adept at setting own work schedule and monitoring and reporting progress against goals
- Should have execellent communication in spoken and written English
- Good presentation skills
- Competent in Microsoft Tools Office Suite – Advanced Word, Excel & PowerPoint skills.
Desirable:
- Project Management Tools such as, Microsoft Project, PlanView, or Smartsheet
