About the Role
The MetaDerm Centre of Dermatology-Trichology-Regenerative Aesthetics is looking for an experienced and responsible Clinic Supervisor to oversee the day-to-day operations of the clinic and ensure smooth coordination between patients, doctors and the clinic team.
The Supervisor will be responsible for managing front-office operations, supervising staff, monitoring patient flow, ensuring a high-quality patient experience, coordinating appointments and procedures, supporting billing and administrative activities, and maintaining operational standards of the clinic.
The ideal candidate should have strong communication and people-management skills, be organised and proactive, and be comfortable working in a fast-paced clinical environment.
Key ResponsibilitiesClinic Operations & Supervision
- Oversee the day-to-day functioning of the clinic and ensure smooth operations.
- Supervise and coordinate the front-office and support staff.
- Allocate daily responsibilities and ensure timely completion of assigned tasks.
- Monitor staff attendance, punctuality, grooming and adherence to clinic procedures.
- Ensure the reception and patient areas are clean, organised and professionally maintained.
- Ensure all clinic processes and operational standards are followed consistently.
- Identify operational issues and take timely corrective action.
- Coordinate with management on operational requirements and challenges.
Patient Management & Experience
- Ensure patients receive a warm, professional and courteous experience throughout their visit.
- Monitor patient flow and minimise waiting time.
- Handle escalated patient queries, complaints and concerns professionally.
- Ensure appointments are scheduled and managed efficiently based on doctor availability.
- Monitor walk-ins, appointments, cancellations and rescheduling.
- Coordinate effectively with doctors, nursing staff, technicians and other clinic personnel.
- Ensure timely follow-up with patients regarding appointments, procedures and post-visit communication.
- Maintain patient confidentiality and ensure proper handling of patient information.
Team Management
- Guide, supervise and support front-office team members in their daily activities.
- Conduct regular reviews of team performance and provide feedback.
- Train team members on patient handling, communication and clinic processes.
- Ensure staff follow prescribed SOPs and service standards.
- Address performance or behavioural issues appropriately and escalate significant concerns to management.
- Promote teamwork and effective coordination among clinic staff.
Reporting & MIS
- Maintain and review daily clinic operational reports.
- Monitor front-desk metrics and patient-related data.
- Prepare periodic reports on:
- Patient enquiries
- Appointments
- Walk-ins
- Patient conversions
- Cancellations/rescheduling
- Patient retention
- Marketing leads
- Daily collections/payment reconciliation
- Share operational updates and key issues with management.
- Identify trends and areas for improvement based on operational data.

- Knowledge of billing, appointment management or clinic management software is preferred.
- Ability to handle patient complaints and escalations professionally.

- Strong attention to detail.
Eligibility
- 3–5 years of relevant experience in clinic, hospital, healthcare, aesthetic centre, wellness centre or similar service-oriented setting.
- Previous experience in a supervisory or team-lead role will be preferred.
- Graduate or Diploma in any discipline.
- Experience managing front-office operations and patient coordination will be an advantage.
- Candidates who can join immediately are preferred.

- Cleanliness, organisation and presentation of the clinic.
- Patient enquiry follow-up and retention.
- Compliance with clinic SOPs and operational standards.
Compensation & Benefits
- Salary will be based on relevant experience, current compensation, skills and suitability for the role.
- Performance-based incentives may be applicable based on the role and clinic policy.
- Uniform will be provided.
- PF, ESIC and Professional Tax deductions will be applicable as per eligibility/statutory requirements.
- Accommodation, food and travel support are not provided.
Pay: ₹30,000.00 - ₹35,000.00 per month
