Job Description – Executive Assistant to Director
Department: Management / Administration
Location: Guwahati, Assam
Reporting To: Director
Job Summary
We are looking for a well-organized, proactive, and professional Executive Assistant to the Director to provide high-level administrative and coordination support. The candidate will be responsible for managing the Director’s schedule, correspondence, meetings, documentation, and coordination with internal departments and external stakeholders.
Key Responsibilities
- Manage the Director’s calendar, appointments, meetings, and schedules.
- Coordinate and schedule meetings with internal teams, clients, vendors, and other stakeholders.
- Prepare meeting agendas, presentations, reports, and other documents as required.
- Maintain confidentiality of sensitive company and management information.
- Handle emails, correspondence, calls, and other communications on behalf of the Director when required.
- Follow up with different departments on tasks, reports, and pending matters.
- Prepare meeting minutes and ensure timely follow-up on action points.
- Coordinate travel arrangements, hotel bookings, itineraries, and other logistics for the Director.
- Maintain and organize important records, files,
and documents.
- Assist the Director in day-to-day administrative and business-related activities.
- Coordinate with senior management and department heads to ensure smooth communication.
- Track key deadlines, commitments, and follow-up activities.
- Perform any other responsibilities assigned by the Director.
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Management, Commerce, or a related field.
- 2–5 years of experience as an Executive Assistant, Personal Assistant, Management Assistant, or in a similar role.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and email communication.
- Ability to handle confidential information with discretion.
- Strong follow-up and coordination skills.
- Good drafting and documentation skills.
- Ability to multitask and work under pressure.
- Professional appearance, attitude, and conduct.
Pay: ₹15,000.00 - ₹20,000.00 per month
