Job Description – Spare Parts Executive

Position: Spare Parts Executive

Reporting To: Spare Parts Manager / Department Head

Job Purpose

To manage the day-to-day operations of the spare parts department, ensuring timely availability, proper inventory control, accurate billing, and smooth coordination with the Service, Sales, and Accounts departments.

Key Responsibilities

- Handle spare parts counter operations and issue parts as per job cards and requirements.
- Prepare and process spare parts requests, invoices, and material issues.
- Maintain proper stock records and inventory accuracy.
- Ensure timely ordering and availability of fast-moving and required spare parts.
- Coordinate with Service Advisors, Technicians, Warranty, and Workshop for parts requirements.
- Check incoming spare parts against invoices and ensure proper storage and identification.
- Monitor slow-moving, non-moving, and shortage/excess stock.
- Conduct regular physical stock verification and reconcile discrepancies.
- Coordinate with vendors/OEM for parts availability, orders, returns, and replacements.
- Ensure proper handling of warranty and defective parts as per company/OEM procedures.
- Maintain required reports related to stock, purchase, sales, pending orders, and returns.




- Follow company policies regarding inventory control, billing, documentation, and customer service.
- Support the Spare Parts Manager in achieving parts sales and inventory targets.

Required Skills

- Good knowledge of automobile spare parts and their applications.
- Basic understanding of inventory management and stock control.
- Good communication and coordination skills.
- Basic knowledge of MS Excel and computer applications.
- Ability to work with ERP/DMS systems.
- Good attention to detail and documentation skills.
- Ability to work under pressure and meet deadlines.

Qualification & Experience

- Qualification: Graduate / Diploma preferred.
- Experience: 1–3 years in automobile spare parts, dealership, workshop, or inventory operations preferred.
- Freshers with good automobile knowledge may also be considered.

Pay: ₹15,000.00 - ₹20,000.00 per month
