JOB DESCRIPTION – OPERATIONS EXECUTIVE

Employment Type: Full-Time(Mon-Sat)

1. Role Purpose

The Operations Executive will be responsible for supporting and coordinating day-to-day operational activities, ensuring smooth coordination between Sales, Warehouse, Procurement, Accounts, Logistics, Vendors and Customers.

The role will focus on timely order processing, material coordination, documentation, dispatch tracking and operational follow-up.

2. Key ResponsibilitiesA. Daily Operations

- Coordinate and monitor day-to-day operational activities.
- Ensure timely completion of assigned operational tasks.
- Maintain proper records and documentation.
- Follow up with concerned teams for pending activities.
- Identify operational issues and escalate them to the Operations Manager.

B. Order & Sales Coordination

- Coordinate with the Sales Team for confirmed orders and requirements.
- Process and maintain order-related records.
- Track order status from confirmation to delivery.
- Coordinate with internal teams to ensure customer commitments are met.
- Follow up on pending orders and requirements.

C. Warehouse Coordination

- Coordinate with the Warehouse Team for material availability.
- Follow up on inward and outward material movement.
- Coordinate material picking, packing, loading and dispatch.
- Ensure materials are arranged and dispatched as per order requirements.
- Monitor stock availability and report shortages or discrepancies.
- Coordinate for stock verification and inventory updates.
- Track damaged, returned or rejected materials.
- Ensure proper documentation for material inward and outward.
- Coordinate with the Warehouse and Logistics Teams for timely deliveries.

D. Procurement Coordination

- Coordinate with the Procurement Team for material requirements.
- Follow up on purchase orders and expected delivery dates.




- Monitor pending material requirements.
- Coordinate with vendors regarding delivery schedules.
- Escalate delays or shortages to the Operations Manager.

E. Logistics & Dispatch

- Coordinate with transporters for dispatch and delivery.
- Track delivery status and update the concerned team.
- Ensure dispatch documents are properly maintained.
- Follow up on delayed or pending deliveries.
- Coordinate with customers/site teams where required.

F. Documentation & MIS

Maintain and update:

- Order tracking reports
- Dispatch reports
- Stock-related records
- Purchase/order status
- Delivery status
- Pending activity reports
- Vendor-related records
- Customer/order documentation

Prepare regular MIS reports for the Operations Manager.

G. Inter-Department Coordination

Coordinate effectively with:

- Sales
- Warehouse
- Procurement
- Accounts & Finance
- Logistics
- Design/Project Teams
- Vendors
- Customers

Ensure timely communication and follow-up between departments.

H. Customer & Issue Coordination

- Support the team in resolving operational/customer issues.
- Coordinate internally to close customer requirements on time.
- Track complaints and pending issues until resolution.
- Ensure proper communication regarding delivery or order status.

I. Process & Compliance

- Follow company SOPs and operational procedures.
- Ensure all required documentation is completed accurately.
- Maintain confidentiality of company and customer information.
- Suggest improvements in operational processes wherever required.

4. Required Skills

5. Preferred Experience

Experience: 1–4 years in Operations, Sales Operations, Warehouse Coordination, Logistics, Order Processing or a related field.

Experience in building materials, interior products, sanitaryware, fittings, façade or related industries will be an advantage.

6. Education

Graduate in any discipline. Candidates with qualifications in Business Administration, Commerce, Logistics, Supply Chain or Operations will be preferred.

7. Role Expectation

The Operations Executive should be a hands-on, responsible and organized professional who can effectively coordinate between departments, maintain accurate records, follow up on operational activities and ensure smooth execution of customer orders from order confirmation to final delivery.

Pay: ₹10,029.55 - ₹45,553.13 per month

- Sultanpur, Delhi, Delhi: Reliably commute or planning to relocate before starting work (Preferred)
