Documentation Executive – NVOCC & Freight Forwarding

Key Responsibilities

- Handle complete export/import documentation for NVOCC and freight forwarding shipments.
- Prepare and verify HBL/MBL, Shipping Instructions, Bills of Lading, Arrival Notices, Delivery Orders and related documents.
- Coordinate with customers, shipping lines, agents, CHA, transporters and overseas offices for timely documentation.
- Ensure accurate submission of SI, VGM, manifest and customs-related documents within stipulated deadlines.
- Verify shipment details, container numbers, vessel/voyage, consignee, shipper and cargo information.
- Coordinate BL draft approval, amendments, release and surrender/telex release as applicable.
- Maintain proper documentation records and ensure timely updating of shipment files/system.
- Follow up on documentation discrepancies and resolve issues promptly.
- Ensure compliance with company procedures,



customer requirements and applicable shipping/customs regulations.
- Support the Operations and Customer Service teams in smooth shipment execution.

Key Skills

- Robust knowledge of NVOCC, Freight Forwarding and Sea Export/Import Documentation.
- Good understanding of BL procedures, SI, VGM, manifest and shipping line documentation.
- Excellent coordination, follow-up and communication skills.
- Strong attention to detail and accuracy.
- Ability to work under pressure and meet strict documentation cut-offs.
- Proficiency in MS Office and shipping/ERP systems.

Qualification

Graduate in any discipline; relevant certification/diploma in Shipping, Logistics or Freight Forwarding will be an advantage.
