Purchase Executive – Roles & Responsibilities
- Handle day-to-day purchase activities as per company requirements.
- Coordinate with Production, Stores and other departments to identify material requirements.
- Collect and compare quotations from suppliers and prepare comparative statements.
- Negotiate price, payment terms, credit period and delivery schedules with vendors.
- Identify, develop and maintain reliable suppliers for required materials.
- Prepare and process Purchase Orders (PO) after obtaining necessary approval.
- Ensure PO details such as item description, quantity, rate, GST, delivery date and payment terms are correct.
- Follow up with suppliers to ensure timely delivery of materials.
- Monitor pending and overdue Purchase Orders and provide regular status updates.
- Coordinate with Stores regarding material receipt, stock availability and GRN details.
- Ensure purchased materials meet the required quality, specifications and quantity.
- Coordinate with Quality and Production for rejected, damaged or incorrect materials.
- Follow up with suppliers for replacement and corrective action on quality issues.
- Maintain purchase orders, quotations, comparative statements, supplier details and other purchase records.
- Maintain and update the approved supplier/vendor list.
- Identify alternative suppliers for critical and regularly purchased materials.
- Obtain samples from suppliers and coordinate for approval from the concerned department.
- Monitor market prices and identify opportunities for cost reduction.
- Negotiate annual or bulk purchase rates wherever applicable.
- Coordinate with Accounts regarding supplier invoices, payment status and purchase-related discrepancies.
- Resolve issues related to price, quantity, quality, delivery and invoice differences.
- Monitor supplier performance based on quality, price, delivery and service.
- Maintain good professional relationships with suppliers and support vendor development.
- Coordinate transportation, packing and delivery arrangements with suppliers when required.
- Prepare monthly purchase reports and pending order reports.
- Maintain proper purchase documentation for audit and company requirements.
- Ensure all purchases are made as per company procedures and approval requirements.
- Visit supplier/vendor locations whenever required for vendor evaluation and development.
- Maintain confidentiality of supplier quotations, rates and commercial information.
- Perform other purchase-related duties assigned by the Management
Job Type: Full-time
Pay: ₹25,000.00 - ₹45,000.00 per month
