1. Job Purpose
To manage day-to-day finished goods dispatch operations, ensuring accurate, timely and compliant dispatch of customer
orders while maintaining proper documentation, inventory accuracy and coordination with production, warehouse, sales,
finance and transporters.
A. Dispatch Planning & Execution
Prepare daily dispatch plans based on confirmed orders and priorities.
Coordinate with the warehouse team for picking, staging and loading of finished goods.
Ensure FIFO/FEFO is followed wherever applicable.
Verify product, SKU, batch number, quantity and packaging condition before dispatch.
Ensure vehicles are available as per the dispatch schedule.
Monitor vehicle reporting, loading and departure time.
Ensure dispatches are completed within defined cut-off timelines.
B. Documentation & ERP
Prepare and verify invoices, delivery challans, e-way bills and other dispatch documents.
Ensure correct customer, SKU, batch, quantity and pricing details before dispatch.
Make accurate ERP entries for all dispatch transactions.
Maintain dispatch registers and daily dispatch reports.
Ensure all documents are handed over to the transporter/driver before vehicle departure.
Reconcile physical dispatch quantity with ERP/system records.
C. Warehouse Coordination
Coordinate with FG Store for material availability and picking.
Ensure dispatch staging areas are organized and properly identified.
Ensure no damaged, wrong or expired material is dispatched.
Coordinate for replacement/shortage/excess quantity issues before loading.
Monitor loading sequence to avoid product damage and dispatch errors.
D. Transporter Management
Coordinate with approved transporters for vehicle placement.
Follow the defined vehicle reporting cut-off time.
Verify vehicle cleanliness, fitness and suitability for food-product transportation.
Maintain transporter and vehicle records.
Track vehicle departure and delivery status.
Escalate delays, breakdowns or other transportation issues immediately.
E. Inventory & Control
Maintain high accuracy in dispatch quantity and stock movement.
Support daily stock reconciliation between physical stock and ERP.
Investigate and report dispatch-related stock variances.
Ensure batch-wise dispatch records are maintained.

Support physical verification and cycle counting activities.
F. Compliance & Food Safety
Ensure dispatch operations comply with company SOPs and food-safety requirements.
Ensure vehicles are clean, hygienic and suitable for food products.
Ensure products are protected from contamination, moisture and physical damage during loading.
Follow all company safety, hygiene and security procedures.

4. Daily Activities
Start of Shift
Review pending dispatches and priorities.
Check vehicle placement status.
Check FG availability.
Review previous-day pending or delayed dispatches.
During Shift
Coordinate picking and loading.
Verify material and documents.
Update ERP/system transactions.
Track vehicle movement and dispatch status.
Resolve operational issues and escalate exceptions.
End of Shift
Reconcile dispatched quantity with ERP.
Check pending dispatches.
Submit daily dispatch summary.
Complete shift handover to the next team/member.
5. Required Qualification & Experience
Qualification: Graduate / Diploma; preferably in Logistics, Supply Chain, Commerce or Operations.
Experience: 2–5 years in dispatch, warehouse, FMCG, food manufacturing, logistics or similar operations.
Preferred Skills:
ERP/SAP knowledge.
MS Excel and basic reporting.
Good understanding of dispatch documentation.
Inventory and warehouse management knowledge.
Basic knowledge of e-way bill and GST documentation.
Good communication and coordination skills.
