Senior Hospital Billing Executive

4. Job Purpose
To manage and supervise the complete hospital billing process, ensuring accurate, timely and transparent billing for OPD, IPD, emergency, surgery, diagnostic and other hospital services. The position is responsible for billing accuracy, insurance/TPA coordination, cash collection, reconciliation and timely closure of patient accounts.
5. Key Responsibilities
- Manage day-to-day OPD, IPD, emergency and discharge billing activities.
- Prepare accurate patient bills as per hospital tariff, package rates and approved discounts.
- Verify charges for consultations, procedures, investigations, medicines, consumables, room rent, nursing services, OT and other hospital services.
- Ensure all services provided to patients are properly captured in the billing system.
- Review and verify final bills before patient discharge.
- Coordinate with doctors, nursing staff, pharmacy, laboratory, radiology, OT and other departments for billing-related issues.
- Handle cash, card, UPI and other payment transactions and ensure proper documentation.
- Maintain daily cash collection and billing reports.
- Reconcile billing records with cash, card, UPI and other payment collections.
- Process refunds, credit notes and billing adjustments after obtaining appropriate authorization.
- Coordinate with TPAs, insurance companies and corporate clients regarding cashless and reimbursement cases.
- Verify insurance/TPA approvals, packages, deductions, non-payable items and patient contributions.
- Prepare and submit required documents for insurance/TPA claims.
- Follow up on pending payments, deductions and outstanding claims.
- Identify billing discrepancies, duplicate charges, missed charges and unauthorized discounts.
- Ensure compliance with hospital billing policies and approved tariff rates.
- Maintain confidentiality of patient financial and personal information.
- Supervise and guide junior billing executives and other billing staff.
- Allocate duties and monitor the performance of billing staff.
- Train new billing employees regarding hospital billing procedures and software.
- Handle patient and attendant queries relating to bills and payments professionally.
- Resolve billing complaints in coordination with the concerned department.
- Prepare MIS reports relating to daily billing, collections, outstanding amounts, discounts, refunds and revenue.
- Monitor pending bills and ensure timely closure of patient accounts.
- Maintain proper records of all billing documents and supporting vouchers.
- Assist management during internal and external audits.
- Ensure that billing practices comply with hospital policies, applicable rules and audit requirements.
- Perform any other billing or revenue-related duties assigned by hospital management.
6. Supervisory Responsibilities
The Senior Hospital Billing Executive may be responsible for:
- Supervising billing executives and billing assistants.
- Checking their work for accuracy.
- Preparing duty rosters and assigning billing counters.
- Monitoring attendance, punctuality and work discipline.
- Conducting on-the-job training.
- Escalating repeated errors or negligence to the Billing Manager/Administrator.
- Ensuring adequate billing coverage during peak hours, weekends and holidays.
7. Required Skills
- Robust knowledge of hospital billing procedures.
- Knowledge of OPD/IPD and discharge billing.
- Understanding of TPA and insurance billing processes.
- Good knowledge of hospital tariff and package billing.
- Proficiency in hospital information systems/HMIS and MS Excel.
- Good numerical and reconciliation skills.
- Good communication and interpersonal skills.
- Ability to handle patients and attendants professionally.
- Attention to detail and accuracy.
- Ability to work under pressure and meet discharge/billing deadlines.
- Leadership and team-management skills.
- High level of honesty, confidentiality and financial integrity.
8. Educational Qualification
Preferred:
- Graduate in any discipline.
- Diploma/Certificate in Hospital Management, Medical Billing, Healthcare Administration, Finance or a related field will be an advantage.
9. Experience
- Minimum 3–5 years of experience in hospital billing.
- Experience in IPD billing, discharge billing, TPA/insurance billing and cash collection preferred.
- Previous supervisory experience will be an advantage.

- Billing accuracy and minimum billing errors.
- Timely completion of discharge bills.
- Reduction in pending billing/claims.
- Timely submission of TPA/insurance documents.
- Accuracy of daily cash reconciliation.
- Reduction in billing complaints.
- Proper control of discounts, refunds and adjustments.
- Timely preparation of billing MIS.
- Staff productivity and adherence to billing procedures.
11. Working Conditions
The position may require working in shifts, including weekends and holidays, depending on hospital requirements. The employee must be capable of handling high patient volume, urgent discharge billing and time-sensitive financial transactions.
Pay: ₹30,000.00 - ₹40,000.00 per month
