Business Operations Manager Process Improvement

Location: Remote India
Salary: Up to 75,000 per month, depending on experience
Type: Full time, 5 days work week, UK Shift - 11:30 to 8:30 PM IST
Progression: Significant opportunity as the group continues to scale

About the Role

We are looking for a highly capable Business Operations Manager to work directly with the Managing Director of a growing UK-based group of companies.

This role is particularly suited to someone with experience in areas such as:

- Business Operations
- Founders Office

The core purpose of the role is simple:

Take messy or inefficient areas of the business, understand how they work, organise them, improve them, build reliable systems around them and reduce the amount of day-to-day operational work requiring Managing Director involvement.

This is a hands-on business operations and process-improvement role.

We are not looking for someone who only monitors projects, updates trackers or passes information between departments. We want someone who takes ownership of operational problems and works through them until the underlying process actually works.

About the Company

We are a UK-based group operating across:

- Residential architecture
- Structural engineering
- Residential property portfolio management

The group has grown from 3 people to more than 23 and is continuing to scale.

What We Need From You

You should have genuine experience improving the way a business operates.

We are particularly interested in people who have personally:

- Taken ownership of an operational process
- Identified inefficiencies or failure points
- Created or improved SOPs
- Designed workflows and process maps
- Built checklists, templates or decision rules
- Improved accountability between teams
- Introduced trackers, dashboards or reporting systems
- Implemented a new business process
- Identified opportunities for automation
- Reduced repetitive manual work
- Helped transfer routine work into a system that could be delegated
- Worked across several departments or functions
- Turned unclear business problems into practical solutions

You should be comfortable doing some of the work yourself before attempting to redesign it.

We believe good operational systems are built by understanding what actually happens in practice, not simply by creating documents from a distance.

Your Responsibilities

Business Operations and Process Improvement

You will identify areas of the group that are inefficient, poorly documented or overly dependent on individual knowledge.

You will then help:

- Understand the current process




- Identify bottlenecks and unnecessary steps
- Redesign the workflow
- Define responsibilities
- Create SOPs and operational documentation
- Establish decision rules and escalation procedures
- Create trackers and dashboards
- Implement the improved process
- Test whether it works
- Improve it further where required
- Identify work that can be automated
- Identify work that can eventually be delegated

The objective is not simply to produce documentation.

The objective is to build practical operational systems that people actually use and which consistently produce the required outcome.

Cross-Functional Operational Execution

You will work across architecture, structural engineering, accounts, IT, marketing and administration.

You will help turn management decisions and business ideas into:

Clear actions Owners Deadlines Working systems Completed outcomes

You will follow up where necessary, identify bottlenecks, resolve operational problems and escalate matters only where management input is genuinely required.

The measure of success is not: I followed up.

It is: The required outcome was achieved.

Property Business Operations

One company within the group, CEB Properties, operates a small UK residential property portfolio of approximately six properties.

Initially, you will take significant responsibility for its day-to-day operations.

This includes areas such as:

- Tenant enquiries and communication
- Property advertising
- Viewings
- Applicant onboarding
- Referencing
- Tenancy documentation
- Deposits
- Check-ins and check-outs
- Inspections
- Maintenance
- Contractor coordination
- Compliance tracking
- Property and tenancy records

However, your long-term objective is not simply to become a property administrator. Your objective is to systemise the operation by creating:

- SOPs
- Workflows
- Checklists
- Templates
- Decision trees
- Escalation rules
- Recurring task systems
- Compliance trackers
- Appropriate automation

Routine work should ultimately be capable of being handled by junior administrative support following the systems you have created.

Hands-On Implementation

Particularly during the first few months, you will sometimes need to carry out practical administrative and operational work yourself.

This may include:

- Updating operational systems
- Organising records
- Following up outstanding actions
- Managing routine correspondence
- Coordinating appointments
- Updating trackers
- Preparing documentation

This is deliberate. While doing this work, we expect you to continually ask:

Why are we doing this this way? Can this be simpler?

Can this be systemised? Can this be automated?

Can this eventually be delegated?

AI, Technology and Automation





You should be comfortable using modern AI tools such as ChatGPT and Claude as part of your normal working process.

You may use AI to help:

- Analyse large volumes of information
- Structure meeting and training transcripts
- Compare documents
- Draft SOPs
- Develop workflows
- Identify inconsistencies
- Organise business knowledge
- Research unfamiliar processes
- Improve documentation
- Solve operational problems

You do not need to be a programmer. However, you should be technically confident, curious about automation and capable of learning new systems quickly.

The Person We Are Looking For

You are likely to enjoy this role if you naturally like building order from complexity.

When you encounter an unclear or inefficient process, your instinct should be to understand it and fix it.

Experience in a startup, SME, Founders Office, Business Operations, Process Improvement, Operational Excellence or Business Systems environment would be particularly relevant.

Candidates whose experience is primarily PMO, Scrum or software-delivery coordination without meaningful hands-on business operations or process-improvement responsibility are unlikely to be suited to the role.

During your first six months, we would expect you to have:

- Taken control of the day-to-day property operation
- Systemised its principal processes
- Created clear maintenance, tenancy and compliance workflows
- Improved several wider business processes
- Built useful SOPs and operational documentation
- Improved visibility over responsibilities and deadlines
- Reduced dependence on individual employees' knowledge
- Identified work that can be automated
- Identified routine work that can be delegated
- Created better operational visibility for management
- Reduced the number of routine issues requiring Managing Director involvement

As the business becomes increasingly systemised and junior administrative support is introduced, your role will progressively move away from routine execution and towards business operations management, process improvement, systems, automation and continuous improvement.

Progression

We are open to candidates who have not yet held a very senior Operations Manager title.

For the right person, ability, judgement, ownership, systems thinking and potential are more important than simply having the longest CV.

This role is intended to grow considerably as the group expands.

Shortlisted candidates will be invited to complete a *16081837* paid eight-hour practical work trial based on a real operational problem within the business.
