We are looking for an experienced and highly dependable Executive Assistant to work directly with the Senior Management.
This is not a routine secretarial role. The Executive Assistant will act as an extension of the Senior Management office and will be responsible for ensuring that instructions are communicated, commitments are recorded, follow-ups are completed and pending matters are driven to closure.
Key responsibilities include:
Maintain a comprehensive daily task, delegation and follow-up tracker.
Communicate assignments to employees and stakeholders on behalf of the Senior Management.
Obtain transparent commitments regarding completion dates and timelines.
Follow up consistently until every assigned task is completed.
Escalate delays, unresolved matters and significant issues appropriately.
Manage the senior management's calendar, meetings, appointments, reminders and travel arrangements.
Prepare meeting agendas, minutes, action points and follow-up summaries.
Monitor emails and correspondence requiring the senior management attention.
Draft skilled emails, letters, messages and internal communications.
Coordinate with senior management, employees, vendors, clients and external stakeholders.
Conduct online research and prepare structured summaries and reports.
Prepare and maintain Excel trackers, presentations and management information.
Handle confidential documents and sensitive information with complete discretion.
Coordinate selected personal assignments such as reservations, appointments, purchases, travel and other administrative requirements.
Anticipate requirements and resolve routine matters without repeated intervention.
Gradually take ownership of the senior management administrative and coordination workload.
Preferred Candidate Profile
Minimum 5 years of experience as an Executive Assistant, Personal Assistant or Secretary to a Promoter, Managing Director, CEO or senior business leader.
